Award-Winning 50-person distinguished architectural practice is actively seeking a Human Resources Administrator to join their growing Newport Beach studio. The firm possesses expertise in programming, planning, design, and management services, primarily catering to Educational Facilities for over three decades. With offices located in Orange County, San Diego, and East Bay, this firm boasts a wealth of professional knowledge, talent, and personalized commitment to their clients. The studios embrace hybrid work arrangements and prioritize the professional development and growth of their designers, architects, and managers.
Position Overview
The Human Resources Administrator manages comprehensive employee benefits programs, including 401(k), Flexible Benefits/125 Cafeteria, and Insurance plans. This role provides expert consultation on benefit eligibility, analyzes plan provisions, implements benefit changes, and handles compliance reporting. This is a part-time position of 20 hours per week.
Reports to: Chief Financial Officer
Responsibilities
Benefits Administration
  • Coordinate open enrollment and manage health, dental, life, and FSA benefits with brokers
  • Maintain insurance coverage records and assist employees with benefit-related matters
  • Administer CFRA plans and disability assistance programs
  • Conduct benefits audits and prepare required government filings
Employee Relations & Development
  • Design and conduct new employee orientations
  • Develop and deliver HR-related training for supervisors
  • Serve as employee relations representative
  • Facilitate grievance resolution between employees and supervisors
  • Coordinate company recreational activities
Compliance & Documentation
  • Maintain current knowledge of federal and state employment laws
  • Manage personnel records and ensure regulatory compliance
  • Handle Workers' Compensation cases in partnership with General Counsel
  • Conduct I-9 compliance audits
  • Update and administer employee manual
Talent Management
  • Conduct job analyses and maintain position classifications
  • Perform salary evaluations and budget planning
  • Manage recruitment process, including advertising and employment verification
  • Conduct exit interviews and prepare separation documentation
  • Oversee employee review process
Qualifications
Education & Experience
  • Associate's Degree in Business or related field
  • Minimum 5 years of Human Resources experience
  • Advanced HR or Management certification preferred
Technical Skills
  • Proficiency in financial software (Deltek's Ajera)
  • Advanced Microsoft Excel and Windows skills
  • Strong analytical and documentation abilities

  • Ability to manage multiple priorities and meet deadlines
  • Self-motivated with strong initiative
