Job Description

Key Responsibilities:

  • Front Desk Coverage: Answer telephone calls, manage correspondence (e-mail and fax), greet and check-in patients, schedule appointments, and perform other front desk duties.
  • Administrative Support: Provide administrative support for clinic operations, including data entry, filing, and scanning of health records, ensuring accurate documentation within multiple databases (EHR, PeopleSoft, etc.).
  • Data Entry & Retrieval: Enter and retrieve information in/from multiple databases, including the electronic health record (EHR), in accordance with clinic procedures and HIPAA guidelines.
  • Patient Communication: Communicate with patients regarding appointments, lab work results, vaccinations, and follow-up visits. Relay messages to clinical staff in an accurate and timely manner.
  • Record Management: Maintain and organize health records, ensuring compliance with privacy and confidentiality standards (HIPAA), and obtain archived records as needed.
  • Support Workers’ Compensation: Assist with administrative tasks related to Workers’ Compensation cases and claims as needed.
  • Collaboration: Work closely with internal teams, including HR, clinical staff, and leadership, to ensure smooth clinic operations and meet deadlines for assigned projects.
  • Customer Service: Provide excellent customer service, maintaining a professional, courteous, and caring demeanor with all patients, staff, and visitors.
  • New Hire Support: Assist with onboarding activities at the Enterprise level, including the use of the new hire portal.

Qualifications:

  • High school diploma required; Associate’s degree preferred.
  • At least one year of administrative experience preferred.
  • Strong computer skills, including proficiency in Microsoft Word, Excel, Outlook, and Teams.
  • Experience with electronic medical record (EMR) systems (Epic preferred).
  • Strong communication and customer service skills.
  • Ability to manage multiple priorities and work effectively in a fast-paced environment.
  • Detail-oriented with strong organizational skills.
  • Ability to work independently and learn quickly in a dynamic environment.
  • Knowledge of HIPAA compliance and privacy regulations.
