Executive Assistant

Executive Assistant - Plano, TX 75024


The Executive Assistant is responsible for supporting the company principals in day-to-day administrative functions, ensuring the overall success of the company's vision and mission. Support company office and Principal (Owner) in day-to-day administrative functions, including:

Duties:
  • Greet visitors and answer phones
  • Order and distribute office supplies
  • Process incoming office mail
  • Coordinate local office calendar (project deadlines, meetings)
  • Coordinate travel arrangements for local office staff
  • Coordinate meeting arrangements (on- and off-site)
  • Assist with preparation and distribution of meeting minutes and other correspondence
  • Assist principal with calendar management
  • Assist principal with phone, email, and other correspondence
  • Assist principal with leading weekly staff meeting
  • Maintain general office files (digital and hard copies)
  • Update log for submittals, RFIs, inspections, etc.
  • Format project specifications
  • Assist with financial duties, including preparation of spreadsheets, preparation of accounts receivable, and banking deposits
  • Handle confidential and sensitive information with discretion
  • Assist with overall office project management and workflow by creating spreadsheets, collecting, and analyzing information
  • Participate in career development training as assigned by board of directors or Human Resources Manager
  • Support LTY and Principal (Owner) in day-to-day administrative functions
Qualifications:
  • 3+ years? experience in general administrative support role
  • Ability to manage multiple projects under strict deadlines
  • Demonstrated experience in managing financial spreadsheets and budgets
  • Exceptional attention to detail
  • Proven leadership skills
  • Ability to work well on a team
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience in QuickBooks preferred but not required
  • High school education or equivalent. Associate?s or bachelor's degree in related field preferred but not required
  • Proficient in SpecLink preferred but not required
  • 3-5+ years? experience in architectural, engineering, construction or in a professional services setting in similar role
