Compensation: $19.75 Hourly

PRIMARY JOB FUNCTION(S):
  • Responsible for organizing, maintaining and locating individuals served files.
  • Controls access to individuals served filed.
  • Keeps files current and up-to-date, inserting material promptly and in correctly in the Therap system.
  • Locates and copies documents in accordance with Agency policy.
  • Ensures that hard files are neat, in proper alphabetical sequence in cabinets and in correct chronological order internally.
  • Responsible for promptly inputting current data on each individual's served record upon receipt of the information.
  • During business hours maintains sign-out/sign-in logs for files.
  • Copies records for internal and external parties.
  • Establishes and maintains tracking system to ensure timely and complete submissions, logging, and routing of individuals documents.
  • Assist departments with Iron mountain storage and destruction.
  • Uses technology for the completion of specified job duties.
  • Attends work regularly according to assigned work schedule and in accordance with Agency policy.
  • Attends and participates in in-service training, staff meetings and other activities to facilitate professional development.
  • Works cooperatively with others including all staff, supervisors, administrators, co-workers, individuals served, community professionals, customers, vendors and the public.
  • Follows instructions and abides by Agency policies and procedures.
  • Assumes other duties, responsibilities and special projects as needed.
SECONDARY FUNCTION(S):
Works cooperatively and effectively with Agency volunteers maximizing the volunteers' experience while meeting the needs of individuals served and the programs.
QUALIFICATIONS:
EDUCATION/EXPERIENCE: High school diploma, plus at least two years of clerical experience. Legible handwriting. Demonstrated ability to exercise initiative and judgment and to work independently. Basic knowledge of filing systems (paper and electronic) and applications and demonstrated ability to maintain files in an accurate and up-to-date manner. Proficient in Microsoft Office, especially Excel, and SharePoint. Must have an acceptable driving record as determined by criteria established by the Agency's insurance carrier and by Agency policy.
NOTE: At the discretion of the Personnel Officer, additional related experience and/or education may be substituted in lieu of the requirements specified above under Education and Experience.
