Job Title: Warranty AdminJob Description The Warranty Admin will be responsible for claims analysis and processing, supporting warranty claims administration, and handling daily part shipping and receiving tasks. This role requires a keen eye for detail, strong communication skills, and the ability to work both independently and collaboratively with various teams and departments. Responsibilities Support warranty claims administration, including labor operation coding and flat rate time review. Research multiple system resources to gather facts from dealership repair orders, internal databases, and other applications to support the warranty claim process. Review warranty parts and supporting documentation for compliance with published policies and procedures, and document and report findings. Communicate with various teams, dealerships, zone district teams, and other departments regarding claim research results. Utilize multiple system resources, including Lotus Notes, Microsoft Office applications, mainframe, and web-based applications. Support requests and receipt of warranty parts for analysis requested by various departments. Adhere to building and departmental safety regulations and guidelines, and report all safety and work area or equipment concerns. Ship and offload daily part shipments and receive for multiple divisions, ensuring correct part receipt and documentation. Research shipment exceptions and assist in returning parts to vendors and other locations. Resolve inquiries from dealerships and various team members concerning the return of warranty parts. Maintain a comprehensive understanding of published policies and procedures and explain them to teams inside and outside of the department. Utilize mainframe applications to manage and administer parts 'call-in' and 'receipt'. Become HAZMAT certified and manage part request orders via Lotus Notes Database. Maintain supplies for shipping, including FedEx forms and boxes. Utilize EXCEL and other data resources to support monthly warehouse activities. Identify data trends for freight reimbursement and FedEx vendor billing review. Essential Skills Flexibility and the ability to work independently as well as collaborate with different teams and management. Excellent interpersonal skills, client relations, and problem resolution. Basic to intermediate computer proficiencies, including Microsoft Office applications, Lotus Notes Database, mainframe, and web-based applications. General automotive systems knowledge. Warehouse and/or auto parts experience. Physical ability to lift packages and parts up to 80 pounds safely. Strong organizational, time management, attention to detail, and critical thinking skills. Knowledge of dealership service operations and warranty administration. Good ability to document and compose reports and maintain computer files, including photographs. Ability to become HAZMAT and forklift certified. Adaptability to workload volume variance while maintaining safety and quality. Additional Skills & Qualifications Associate degree or Vocational Degree in Automotive Technology or equivalent combination of education and work experience preferred. Customer service oriented, providing world-class client satisfaction and value-based service. Safety-first attitude for self, co-workers, and clients. Work Environment The role is fully onsite with working hours from 8:30 AM to 5:00 PM. The work environment includes managing a warehouse, adhering to safety regulations, and operating a dedicated warehouse forklift.
