What you will be doing
- Assisting the Operations management team in addressing and resolving concerns and problems related to day-to-day construction activities, such as shoring and rigging issues, changes in scope of work from ground conditions and weather.
- Booking vendors, suppliers, and freight for site requirements as directed.
- Booking and organizing shoring and equipment rentals as directed.
- Tracking and updating purchase orders, rental purchase orders, crews, and resources as per changes on site (rentals, returns, purchases, moves).
- Reviewing, updating, and maintaining rental tracking, and updating rental review documents, issuing to and reviewing them with project teams.
- Reviewing and reconciling invoices and purchase orders, ensuring they are complete and accurate before providing to Project Managers for their review.
- Assisting with project scheduling, such as discussing project schedules with the Operations and Projects teams, revising forecasting documentation, and communicating with vendors and suppliers regarding upcoming scopes.
- Assisting the Operations management team with crew scheduling, such as participating in discussions related to crew forecasting, reviewing current workload and crew load, providing hiring requirements to Human Resources, and assisting with new employee vetting.
- Coordinating equipment scheduling needs, such as arranging equipment moves and organizing operators.
- Assisting the Operations management team with managing inventory and completing site inspections, including having discussions with the Foreperson regarding upcoming scope and needs, reviewing inventory with current rental review, crews, and resources; and attending to outstanding rentals and tracking of lost tools and equipment.
- Tracking equipment hours and organizing equipment maintenance, including updating tools, radios, and small equipment.
- Assisting the operations management team with dispatching using foreperson reports and reviewing site requirements, and handling changes, additions, and cancellations post dispatch.
What we are looking for
- Experience working in an Operations Assistant, Coordinator, or similar role, in a construction environment. Preference for experience in civil construction and in a general contractor setting.
- Valid BC driver’s license and clean driving record.
- Aptitude for mechanical tools and machinery, understanding how things work intuitively and being able to either fix them or recommend maintenance/repair.
- Familiarity in working around existing utilities.
- Excellent communication skills across all mediums, written and verbal, maintaining a high level of respect and professionalism in all correspondence.
- Proficiency working with a variety of computer software and applications, working knowledge of Microsoft Outlook, Word, and Excel are essential.
- Strong work ethic, reliability, good attitude, and a team player.
- Positive and motivated with the willingness to learn.
- Attention to detail and safety oriented.
- Good organizational and time management skills.
- Have knowledge of OH&S regulations and knowledge of construction disciplines (knowledge of materials and methods required).
