Elwyn is currently seeking a
Head of Staff Operations to be a critical member of the senior leadership team, supporting the [COO/Executive Team] in driving the organization's operational priorities, operational efficiency, and cross-functional alignment. This role is designed for a proactive leader who will act as a trusted advisor to senior management, ensuring the organization runs smoothly and effectively while fostering a positive and high-performance culture. The Head of Staff will serve as the linchpin between the leadership team and staff across all departments, ensuring that key decisions are executed and that operational objectives are met.
In addition to day-to-day operational support, the Head of Staff will lead strategic initiatives, track organizational performance, and help manage the COO/Executive team's priorities and key projects. This individual must have excellent leadership, communication, and organizational skills, and be comfortable working in a fast-paced, dynamic environment.
ESSENTIAL FUNCTIONS:Planning & Execution:- Partner with the COO/Executive Team to define the strategic vision of the organization and translate these goals into actionable plans.
- Lead the execution of key strategic initiatives, ensuring alignment with organizational priorities and delivering results on time and within budget.
- Track progress on strategic goals and provide regular reports to the executive team, highlighting key milestones, potential risks, and areas for improvement.
Leadership Coordination & Team Support: - Ensure clear communication of leadership priorities and updates across the (3) service lines.
- Facilitate cross-functional collaboration to remove silos and ensure alignment between departments.
- Provide coaching and support to senior leaders and managers in meeting organizational objectives.
- Operational Oversight & Process Improvement:
- Continuously assess organizational processes and workflows to identify opportunities for improvement and streamline operations.
- Lead efforts to improve operational efficiency, reduce bottlenecks, and create scalable systems that align with the organization's growth objectives.
- Oversee the development and implementation of new operational systems, tools, and processes that support organizational goals.
Crisis Management & Decision Support: - Provide leadership and support during organizational crises, ensuring that the executive team makes informed decisions under pressure.
- Coordinate response efforts, manage communication, and help guide the team through complex problem-solving scenarios.
- Provide strategic analysis and recommendations to senior leadership on critical decisions impacting the business.
Communication & Relationship Management: - Serve as a liaison for internal and external stakeholders, maintaining strong relationships with key partners, investors, and employees.
- Facilitate the creation of internal communications, ensuring that messaging is consistent, clear, and aligned with organizational objectives.
- Represent the COO or executive leadership in meetings, presentations, or events when required.
Project Management & Special Initiatives: - Lead high-priority organizational projects, ensuring they are well-defined, well-executed, and completed on time.
- Develop project timelines, assign resources, and track deliverables, ensuring accountability at all levels.
- Organize and oversee special initiatives or company-wide programs that require executive oversight, such as leadership development or cultural transformation project.
QUALIFICATIONS, EDUCATION AND EXPERIENCE:- Bachelor's degree required; Master's degree in Business Administration (MBA), Organizational Leadership, or related field preferred.
- Minimum of 7-10 years of experience in senior leadership, operations, or executive support roles, preferably in a dynamic, high-growth organization.
- Strong strategic thinking and problem-solving skills with a proven track record in leading cross-functional teams.
- Excellent written and verbal communication skills, with the ability to engage and influence all levels of the organization.
- High level of emotional intelligence and the ability to build strong relationships with senior leaders, staff, and external stakeholders.
- Strong project management skills, with proficiency in project management tools (e.g., Asana, Trello, MS Project, etc.).
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint), Google Workspace, and other collaboration tools.
- Ability to handle sensitive and confidential information with discretion.
- Strong leadership presence and the ability to influence at all levels of the organization.
- Solutions-oriented with a focus on continuous improvement and achieving measurable outcomes.
- Adaptable and able to thrive in a fast-paced, evolving environment.
- Exceptional organizational skills with attention to detail and the ability to manage multiple projects simultaneously.
