Description
Job Title: ACCOUNTS PAYABLE SPECIALIST
Reports to: CONTROLLER
SUMMARY:
Responsible for managing the company's financial transactions related to vendor payments, ensuring all bills are paid accurately and on time by processing invoices, verifying purchase orders, reconciling discrepancies, preparing payments, and maintaining accurate financial records, all while adhering to company policies and procedures.
Essential duties and responsibilities are described below. Other duties may be assigned.
REQUIRED COMPETENCIES (Essential duties and responsibilities):
• Receive and review vendor invoices against purchase orders.
• Verify the accuracy of invoices, including quantity, price, and terms.
• Prepare and process invoices for payment in a timely manner.
• Process expense reports and ensure compliance with company policies.
• Reconcile and post credit card statements.
• Record and maintain loan documents.
• Maintain/Update Fixed Asset files.
• Issue weekly reports for review and forecasting.
• Prepare AP related month-end reports.
• Post journal entries as needed.
• Daily Cash Reconciliations as it relates to AP.
• Respond to vendor inquiries in a friendly and professional manner.
• Maintain organized and up-to-date financial records and documentation.
• Input financial data into accounting software and related spreadsheets.
• Provide administrative support to the finance and accounting department as needed.
• Follows company safety & security guidelines.
ADDITIONAL COMPETENCIES:
Language Skills: Ability to read, speak and interpret documents in English such as: safety rules & regulations, operating & maintenance instructions, procedure manuals, invoices, purchase orders, contracts and all business documents associated with operations of the organization. Ability to write routine reports and correspondence. Ability to speak effectively before groups of suppliers or employees of the organization. Fluency in Spanish is a plus but not a requirement.
Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rates, ratios, and percentage calculations and to draw and interpret graphs.
Reasoning Skills: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several tangible variables in standardized situations.
Computer Skills: To perform this job successfully, an individual should have knowledge of accounting software; internet software; spreadsheet software and word processing software.

QUALIFICATIONS:

EDUCATION and/or EXPERIENCE:
• High school diploma or equivalent; Associate degree in accounting or related field preferred.
• Proven experience as an AP Specialist or similar role.
• Proficiency in Microsoft Office.
• Strong attention to detail and accuracy in data entry.
• Excellent organizational and time management skills.
• Ability to work independently and as part of a team.
• Basic understanding of accounting principles and financial processes.
• Effective communication and interpersonal skills.
• Knowledge of manufacturing-specific accounting practices a plus.
