Position Overview:

We are seeking a proactive and dynamic Practice Manager to oversee the daily operations of our clinic(s) and ensure the delivery of seamless, efficient, and high-quality care. The Practice Manager will be responsible for staff leadership, operational performance, financial management, and fostering an exceptional patient experience.

The ideal candidate is a proven leader with strong organizational and problem-solving skills who thrives in fast-paced, mission-driven environments.


Responsibilities:

Operational Management:

  • Oversee day-to-day clinic operations, ensuring efficiency, productivity, and compliance with policies.
  • Implement and optimize workflows, processes, and systems to improve operational performance.
  • Monitor scheduling, patient flow, and staff utilization to maximize capacity and minimize wait times.
  • Ensure all clinical and administrative tasks are completed efficiently and on time.


Financial Management:

  • Manage budgets, including revenue forecasting, expense control, and financial reporting.
  • Monitor key performance metrics (e.g., collections, expenses, patient volumes) and implement corrective actions as needed.
  • Work with leadership to optimize revenue cycle management and reimbursement processes.


Team Leadership:

  • Recruit, hire, train, and manage administrative and clinical support staff.
  • Foster a collaborative, positive work environment that aligns with Onto Health’s mission and values.
  • Conduct performance evaluations, develop staff goals, and provide mentorship and growth opportunities.


Patient Experience:

  • Develop and implement strategies to deliver exceptional patient care and satisfaction.
  • Address patient concerns promptly, ensuring resolution and improved processes where needed.
  • Create a welcoming and professional environment for patients, families, and providers.


Compliance and Quality Assurance:

  • Ensure compliance with all regulatory requirements, including HIPAA, OSHA, and clinic-specific standards.
  • Develop, implement, and monitor policies and procedures to maintain the highest level of clinical and operational quality.
  • Collaborate with providers and leadership to address quality improvement initiatives.


Communication and Collaboration:

  • Serve as the primary point of contact for clinic staff, providers, and Onto Health leadership.
  • Collaborate across departments to support strategic initiatives, projects, and clinic growth.
  • Provide leadership with timely updates on operational performance and challenges.


Qualifications:

  • Bachelor’s degree in healthcare administration, business management, or a related field (Master’s degree preferred).
  • Minimum 3-5 years of experience in practice management, healthcare administration, or clinic operations.
  • Proven leadership and team management experience, with a focus on fostering collaboration and performance.
  • Strong financial acumen, including experience managing budgets and analyzing operational metrics.
  • Excellent organizational, communication, and problem-solving skills.
  • Proficiency in healthcare software, electronic medical records (EMR), and Microsoft Office Suite.
  • Knowledge of regulatory requirements (HIPAA, OSHA, etc.) and healthcare operations best practices.
  • Ability to adapt to fast-paced, evolving environments with a proactive and solutions-driven mindset.
