Job Description:

The Temporary Administrative Assistant will play a vital role in supporting business operations through a variety of administrative and organizational tasks. This position requires strong multitasking skills, attention to detail, and the ability to maintain confidentiality.


Key Responsibilities:

  • Manage calendars, schedule meetings, and coordinate visits for team members.
  • Prepare and edit reports, presentations, and other documents.
  • Coordinate travel arrangements and create detailed itineraries.
  • Process expense reports and reimbursement requests.
  • Track contracts, purchase orders, and invoices.
  • Order office supplies and oversee incoming/outgoing mail and packages.
  • Handle internal and external communications, ensuring smooth operations.
  • Collaborate with IT and facilities teams to maintain resources and address service needs.
  • Assist with event planning and cross-departmental initiatives.
  • Provide backup support to other administrative staff as needed.


Qualifications:

  • Preferred Experience:
  • 5+ years of related experience
  • Prior experience in administrative roles within the pharmaceutical or biotech industries.
  • Proficiency in calendar management, travel coordination, and expense reporting.
  • Skills:
  • Advanced knowledge of Microsoft Outlook, Word, Excel, and PowerPoint.
  • Exceptional organizational skills and ability to manage complex, time-sensitive tasks.
  • Excellent verbal and written communication skills.
  • Adaptability, initiative, and problem-solving abilities.
