Title: HR Assistant

Company: Spectrum Engineers

Location: Salt Lake City, Utah


Position Status: Full-Time, Hourly, and At Will.


Supervisory Role: None


Position Overview:

The HR Assistant will support Spectrum Engineers’ HR Director by managing various administrative tasks, ensuring smooth HR operations, and maintaining a positive employee experience from recruitment through onboarding and beyond. This role will uphold Spectrum’s commitment to excellence and foster a collaborative and inclusive workplace.


Key Responsibilities:

  • Maintain and organize hard copy and digital employee records to ensure data accuracy and compliance.
  • Support recruitment efforts, including conducting reference checks, drafting and issuing employment offers, and coordinating interview schedules as directed by the HR Director.
  • Manage onboarding activities, ensuring new employees have a seamless transition and are satisfied through their first 90 days. Send onboarding emails to new hires
  • Oversee affirmative action documentation, employment verifications, and compliance with regulatory requirements.
  • Coordinate employee benefits administration with the HR Director, responding to inquiries and assisting with enrollment.
  • Assisted with payroll inquiries and provided support for ad-hoc HR projects.
  • Ensure proper completion and e-verification of I-9 documentation for all new hires.
  • Collaborate with IT to coordinate equipment provisioning for new employees.
  • Schedule and coordinate training sessions and HR events and maintain agendas for key HR activities.
  • Conduct employee orientations, keeping records up-to-date and accurate.
  • As needed, support the HR Director with projects and tasks, staying updated on current HR trends and best practices.


Qualifications:

  • Minimum of 4 years of experience in an HR assistant or coordinator role.
  • Strong knowledge of labor laws, employment equity regulations, and HR best practices.
  • Exposure to payroll practices and understanding of benefits administration.
  • Exceptional organizational skills and attention to detail.
  • Excellent communication skills, both written and verbal, with the ability to manage sensitive information discreetly.
  • Proficiency in MS Office Suite (Excel, Word, Outlook) and familiarity with HR software and digital filing systems.
  • Demonstrated ability to manage multiple priorities in a fast-paced environment, working independently and within a team.
  • Strong problem-solving skills and the ability to make sound decisions under pressure.
  • A proactive approach to supporting the HR team and maintaining a positive workplace culture.
  • This role needs someone who can take direction, ask questions, and work under the supervision of the HR Director.
