Event Coordinator


We are seeking a detail-oriented and dynamic Event Coordinator to join our team on a temporary basis, covering maternity leave from mid-January 2025 through June 2025 . This hybrid role requires on-site presence every Thursday and involves managing various corporate and special events.

Location: Hybrid (on-site every Thursday) Lancaster, CA

Schedule: Monday to Friday, 8:00 AM - 5:00 PM


Key Responsibilities:

  • Event Logistics Coordination: Organize accommodation, transportation, facilities, catering, signage, special needs arrangements, printing, and event security.
  • Event Planning Support: Assist in planning and executing programs, projects, and events for the organization.
  • Venue and Services Management: Secure and prepare facilities, manage contracts and insurance, and arrange transportation, catering, excursions, and travel itineraries for events and trips.
  • Creative Event Development: Collaborate on event ideas and artistic contributions for staff, student, and corporate events.
  • Cross-Department Liaison: Serve as the main point of contact between organizational departments to ensure smooth implementation of programs and events.
  • Reporting: Track and create detailed reports, charts, and graphs for special events, submitting them to management.
  • Process Improvement: Participate in team meetings to propose and implement process improvements to enhance participant experiences.
  • Customer Support: Address internal and external inquiries related to special events and programs.
  • Data Management: Maintain accurate employee data and update organizational systems and personnel files.
  • Administrative Duties: Perform other administrative tasks as assigned.


Qualifications:

  • Education: High School Diploma or GED (required).
  • Experience:
  • 1-2 years in Corporate or Special Events, including industry training (required).
  • 1-2 years in a professional business setting with public interfacing experience (preferred).
  • Technical Skills: Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and other technology applications.
