ESC’s premier healthcare client is seeking an Executive Assistant to join their organization working onsite in Green Bay, WI . The role works M-F 8am-4:30pm and starts as a contract opportunity affording long-term potential for a top performer. This role performs diversified administrative and secretarial duties for multiple executives and/or senior vice presidents using independent judgment and action.
Major Responsibilities:
- Schedule Coordination:
- Manage travel arrangements and expense reports.
- Schedule and prioritize meetings.
- Organize meeting logistics (catering, agendas, etc.).
- Administrative Support:
- Prepare and summarize data for reports.
- Route inquiries and respond to correspondence.
- Follow up on calls and messages.
- Operations Support:
- Draft and compose correspondence.
- Provide background information for supervisors.
- Prepare reports, presentations, and materials.
- Correspondence Management:
- Handle letters, calls, and inquiries.
- Sort and route mail.
- Assist associates and resolve complaints.
- File Maintenance:
- Maintain and organize records.
- Create and manage filing systems.
Qualifications:
- 7 years of secretarial experience with at least 5 years in an executive or senior level secretarial position.
- High School Diploma.
- Typing speed: 60+ WPM (preferred).
- Proficiency in shorthand/Dictaphone and basic computer skills.
- Skilled in word processing, spreadsheets, and presentation software.
- Ability to independently prioritize and manage multiple requests.
- Capacity to work under stress with professionalism, tact, and discretion.
