Job Description

Responsibilities:

  • Administration of; correspondence, travel arrangements, meeting facilities, employee expenses and corporate card administration.
  • Monitor and audit of front-line employee time recording and reporting using Workday (time tracker) and EAM Work Manager. Follow up with appropriate supervisors. Update and circulate departmental overtime listings.
  • Monitor and audit employee expense reporting. Communicate any discrepancies with appropriate supervisor and escalate to operations manager as required.
  • Maintain and communicate changes to the on-call schedules. Provide meeting support and participates in various meetings (example J.H.S.C), internal committees, teams, and initiatives. Monitor and review action items and assure timely response and follow up.
  • Administer and organize STO activities such as employee communications, emergency response safety, municipal and community relations.
  • Ownership of; email distribution lists, emergency contact listing, communication channels (SharePoint, and business unit file sharing drives).
  • Prepare managerial reporting for employee training including Learning Management System and Computer Based Training.
  • Administration support of the safety apparel program and various regional initiatives.
  • A key member of our Central Operations Team, which includes one manager, three supervisors, and nineteen frontline employees.

Role encompasses a variety of essential tasks, including but not limited to:

  • Time reporting and assistance
  • Building and maintaining shift schedules for both compressor stations
  • Coordinating and managing vacation calendars
  • Expense reporting for all Central Ops employees
  • Accounts payable support
  • Office supplies are replenishment
  • Coordinating with local Fire Departments to schedule recurring exercises
  • Monitoring Blackline lone worker devices and providing support as required
  • Updating overtime reporting
  • Providing administrative support to Joint Health and Safety Committee
  • Serving as the United Way Central Operations coordinator
  • Distributing mail and updating contact lists
  • Maintaining multiple STO SharePoint
  • Support STO contingency planning
  • Assisting with Business Continuity Planning and ERP reviews annually
  • Processing purchase orders
  • Local C55 support
  • Creating correspondence and maintaining a library of presentations
  • Coordinating and implementing special projects
  • Maintaining confidential files
  • Attending staff meetings and providing meeting minutes

Must Have:

  • 5 years + of relevant work experience.
