Job Description

Job Title: Office Administrative Assistant

Hours: Full-time, Permanent

Compensation: $50,000 - 55,000 (based on experience)

Location: Constituency Office (1230 Kingston Road, Scarborough) and City Councillor's Office at City Hall (100 Queen Street West, Toronto)


Join a creative and dynamic City of Toronto Councillor Office to play an important operational role. You are interested in using your skills, knowledge and experience to work with a dedicated team making an impact in Scarborough Southwest and the City of Toronto.


Skills:


  1. Strong customer service skills including communication/interpersonal skills both verbal and written; analytical skills with a strong attention to detail.
  2. Exceptionally organized; detail and accuracy oriented; adept at prioritizing deadlines; a curious mind.
  3. Strong computer skills including Google Suite and Microsoft Outlook.
  4. Ability to multi-task in a fast-paced environment.
  5. Demonstrates tact, maturity and integrity in dealing with confidential and sensitive information. Possesses political acuity.


Responsibilities:


  1. Proactively schedules and manages the Councillor’s calendar, including managing conflicts and priority meetings in advance, providing effective preparation time.
  2. Planning and organizing events on behalf of the Councillor. Booking venues, organizing audio/visual, refreshments, logistics, etc.
  3. Effectively communicates with a full range of stakeholders, including political offices, Council members, city staff, business community, general public and volunteers.
  4. Screens requests and identifies issues to determine priority, screens phone calls, and reads and ranks incoming mail, producing lists of action and pending items.
  5. Data entry, filing, photocopying, and scanning documents.
  6. Planning, priority setting and managing through systems.
  7. Developing and maintaining database of Councillor’s contacts.
  8. Performs additional administrative duties to assist with other personnel, including but not limited to, processing expenses, managing office supplies and operations.
  9. Collecting, organizing, processing staff timesheets.
  10. Any other duties as assigned.


Assets:

  1. Holds valid driver's license and access to car.
  2. Fluent in Bengali, Tagalog, or Tamil.
  3. Photography, video production or design skills.
  4. Lives in the ward or Scarborough.
  5. Experience in politics or political campaigns.
