Job Title: Office Administrative Assistant
Hours: Full-time, Permanent
Compensation: $50,000 - 55,000 (based on experience)
Location: Constituency Office (1230 Kingston Road, Scarborough) and City Councillor's Office at City Hall (100 Queen Street West, Toronto)

Skills:
- Strong customer service skills including communication/interpersonal skills both verbal and written; analytical skills with a strong attention to detail.
- Exceptionally organized; detail and accuracy oriented; adept at prioritizing deadlines; a curious mind.
- Strong computer skills including Google Suite and Microsoft Outlook.
- Ability to multi-task in a fast-paced environment.
- Demonstrates tact, maturity and integrity in dealing with confidential and sensitive information. Possesses political acuity.
Responsibilities:
- Proactively schedules and manages the Councillor’s calendar, including managing conflicts and priority meetings in advance, providing effective preparation time.
- Planning and organizing events on behalf of the Councillor. Booking venues, organizing audio/visual, refreshments, logistics, etc.
- Effectively communicates with a full range of stakeholders, including political offices, Council members, city staff, business community, general public and volunteers.
- Screens requests and identifies issues to determine priority, screens phone calls, and reads and ranks incoming mail, producing lists of action and pending items.
- Data entry, filing, photocopying, and scanning documents.
- Planning, priority setting and managing through systems.
- Developing and maintaining database of Councillor’s contacts.
- Performs additional administrative duties to assist with other personnel, including but not limited to, processing expenses, managing office supplies and operations.
- Collecting, organizing, processing staff timesheets.
- Any other duties as assigned.
Assets:
- Holds valid driver's license and access to car.
- Fluent in Bengali, Tagalog, or Tamil.
- Photography, video production or design skills.
- Lives in the ward or Scarborough.
- Experience in politics or political campaigns.
