Position Overview:

Our client, an independent asset management consulting firm, is seeking a proactive, detail-oriented Operations Administrator to join their dynamic team. This individual will play a critical role in managing client workflows, facilitating communication, and supporting key operational and administrative functions. The ideal candidate will be self-sufficient, a strong problem solver, and able to manage multiple priorities effectively while maintaining a positive client experience.


Key Responsibilities:

  • Client Workflow Management:
  • Coordinate and manage client workflows, ensuring tasks are completed accurately and on time.
  • Serve as the central point of contact for clients, addressing inquiries and providing timely updates.
  • Communication and Client Interaction:
  • Foster strong client relationships through responsive, thoughtful, and professional communication.
  • Manage email traffic for the Managing Director, ensuring prompt follow-up and attention to key priorities.
  • Communicate portfolio updates, prepare client books, and assist with client questions.
  • Administrative and Operational Support:
  • Assist in preparing pitch decks, portfolio analyses, and other client-facing materials.
  • Stay on top of deadlines and proactively manage competing priorities.
  • Provide support for portfolio updates and facilitate smooth communication between the firm and its clients.
  • Problem Solving and Independence:
  • Work independently to address challenges and develop creative solutions.
  • Proactively identify and implement improvements in workflows and processes.
  • Team Collaboration and Training:
  • Collaborate with team members to ensure seamless client service delivery.
  • Take advantage of the ample training provided to excel in the role and support overall firm operations.


Qualifications:

  • Bachelor's degree or equivalent work experience preferred.
  • Exceptional written and verbal communication skills.
  • Highly organized with strong attention to detail and the ability to manage multiple priorities effectively.
  • Demonstrated ability to work independently, solve problems, and make decisions with minimal supervision.
  • Proficiency in creating professional materials such as pitch decks and client-facing reports.
  • Ability to stay responsive and meet deadlines in a fast-paced environment.
  • A client-centric mindset with the ability to foster positive experiences and relationships.
  • Prior experience in asset management, consulting, or a related field is a plus but not required.
