We are seeking a proactive, detail-oriented, and highly organized Executive Assistant to support our executive team. This role requires exceptional multitasking skills, discretion, and the ability to work in a fast-paced environment.
This is a full-time, in-person role based in Burlington, Ontario, reporting directly to the CEO. If you’re passionate about sports and ready to make a lasting impact, we’d love to hear from you.
KEY RESPONSIBILITIES
1. Meeting Coordination and Support
- Attend and take detailed minutes during meetings.
- Provide context reminders and prepare necessary materials before meetings.
- Create action lists and track team deliverables.
- Monitor timelines and roadmaps to ensure accountability.
2. Administrative and Operational Support
- Organize and manage calendars, including booking travel arrangements.
- Monitor and support projects related to company goals and deliverables.
- Maintain a clean and organized email inbox and filing system.

- Provide support for automation tools, such as Zapier, to streamline workflows.
3. Reporting and Documentation
- Prepare and distribute monthly business reports (hiring updates, milestone progress, etc.).
- Assist in generating quarterly reports directly for the CEO.
- Manage trackers for grants, funds, and location scores.
4. Team Support and HR Coordination
- Assist with hiring support, including screening candidates and qualifying applicants from LinkedIn and other sources.
- Support and track quarterly performance reviews and goal-setting.
- Event Planning: Overseeing company events or retreats.
- Manage basic HR tasks, such as vacation requests and employee documentation.
- Feedback Coordination: Collecting feedback from employees or clients for continuou

- Own employee recognition efforts, including milestone celebrations, merch orders, and rewards.
- Track and remind the team of employee birthdays, anniversaries, and significant events.
- Coordinate team staff appreciation initiatives and events.
QUALIFICATIONS
- Experience: 3-5+ years of experience in executive assistance.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in productivity tools (e.g., Microsoft Office, Google Workspace, project management tools like Asana or Trello).
