Summary
The Benefits administrator is responsible for coordinating and overseeing company benefits programs, including health insurance, retirement plans, and other perks, by ensuring compliance with regulations, processing enrollments, addressing employee inquiries, and coordinating with vendors and HR leadership to deliver comprehensive benefits packages while educating employees on their options and maximizing their utilization of benefits; essentially acting as a key point of contact for all employee benefit-related matters.
Essential Duties & Responsibilities
- Coordinates benefit renewals for all entities working with onsite HR and the benefits broker.
- Understands needs and creates benefit packages. Advise on best options. Coordinates the final benefits book.
- Uses new information to set up benefits in Wurk when there is a renewal, including set up of open enrollment process and ensures that all employee enrollment elections are processed accurately in the company and vendor systems, as well as announcements leading up to enrollment.
- Creates and send benefit census information for open enrollment and new benefit set ups.
- Coordinates POP and WRAP Documents with HR support and leadership.
- Organizes and maintains relevant information in centralized electronic files.
- Keeps all benefits enrollment materials, such as Summary Plan Documents, up to date for each entity.
- Oversees the maintenance of employee benefits records.
- Advises and provides excellent customer service to employees and HR team members on benefit-related issues, questions, and concerns.
- Coordinates setting up EDI feeds for benefits, including but not limited to acting liaison between systems and EDI team/vendors, completing validation of test feeds, and reviewing/resolving errors for file feeds in production.
- Ensures all benefits are entered into the carrier sites, by auditing company system benefit records and carrier records on a routine basis, when there is no EDI feed.
- Coordinates ACA reporting and all other required benefits reporting. Ensures 1094-C and 1095-C forms are submitted timely.
- Ensures compliance with state and federal regulations and company policies.
- Manages carrier payments, reviews bills for accuracy and audits expenses related to benefit payouts.
- Keeps all benefits enrollment materials, such as Summary Plan Documents, up to date for each entity.
- Oversees the maintenance of employee benefits records.
- Manages the 401 K program. Tracks 401(k) changes by employees; facilitates 401(k) Audits and non-discrimination testing. Ensures IRS Form 5500s are submitted timely.
- Approves 401K rollover and withdrawal requests.
- Resolves integration issues between 401K provider, PCS, and Wurk, with aid from both agencies.
- Resolves employee 401k issues and concerns.
- Maintains confidentiality as it pertains to benefit information and other confidential HR information.
- Assists with other human resources tasks as needed.
- Performs other duties as assigned.
Minimum Requirements
- Strong understanding of employee benefits regulations and compliance requirements
- Familiarity with EDI structures and requirements.
- Project management experience.
- Excellent communication and interpersonal skills to effectively interact with employee and vendors
- Detail-Oriented with strong organizational skills to manage complex benefit plans and data
- Proficiency in HRIS systems and benefit administration software
- Analytical skills to interpret data and make informed recommendations.
