Summary This vacancy is for a GS-0318-8, Secretary located in the Department of Homeland Security, U.S. Coast Guard, USCG FINANCE CENTER. Responsibilities As a Secretary, the position's primary purpose is to serve as Command Administrator and the principal office clerical and administrative support position for the FINCEN. Being a Coast Guard civilian makes you a valuable member of the Coast Guard team. Typical work assignments include: Managing incoming and outgoing correspondence; receiving, logging, reviewing and tracking all incoming correspondence directed to the Commanding Officer and Deputy Director. Establishing and maintaining office technical and administrative files; periodically conducts inspections to ensure that all files throughout the FINCEN are developed, maintained and disposed of in accordance with applicable regulations; advises Department Heads of discrepancies found and corrective actions needed to bring files into compliance. Utilizing knowledge of regulations and procedures in determining number of copies required and arranges material in proper format. Planning, directing, and coordinating protocol and other activities associated with the conduct of official visits, meetings, events, conferences, and receptions. Qualifications To qualify at the GS-08 grade level, applicants must have at least one (1) full year of specialized experience equivalent to at least the GS-07 grade level in the federal sector. Specialized experience is experience that has equipped you with the particular ability, skill, and knowledge to successfully perform the duties of this position and is typically in or related to this line of work. Specialized experience must include the following: Provides assistance and advice to departments and administrative staff elements regarding protocol, social functions, and official visits. Provides protocol support and coordination for FINCEN functions such as Change of Command and other formal ceremonies. Provides support in areas of lodging, transportation, socials, guest lists, menus, seating arrangements, billing and collection procedures, gifts/mementos, and information packets and the appropriate flags as required. Coordinates detailed plans, itineraries, and distributes to appropriate personnel. Coordinates with Headquarters and other units staff to facilitate overall scheduling of tasks associated with visits. National Service Experience (i.e., volunteer experience): Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional, philanthropic, religious, spiritual, community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
