Job description
We are delivering game-changing new treatments for mental health disorders such as clinical depression and anxiety and we are looking for people to help. Acacia is a world-leader in treating the hardest cases of depression using treatments such as transcranial magnetic stimulation (TMS) and Spravato (esketamine) . We are seeking front-line workers to help us change how mental health care is done. We are looking for people who are passionate about caring for those suffering from mental health challenges. We will train you in how to coordinate various treatments and how to help support patients throughout their time here at Acacia.
The Assistant Treatment Coordinator supports the Treatment Coordinator in guiding potential and current patients through the patient journey. The Assistant Treatment Coordinator is often one of the first real people that the patient meets on their journey and becomes one of their main points of contact. At Acacia, we are dedicated to providing excellent, compassionate, and innovative care and the coordination team will be crucial in ensuring that the patients receive this. The Assistant Treatment Coordinator will also be key in harmonizing care among the different branches of the company such as providers, admin staff, treatment technicians, and patients.

Qualifications
- Education level – Minimum of a Bachelor’s Degree or equivalent
- Interest – Concern for taking care of people with mental health challenges, especially depression and anxiety.
- Skills – Excellent English verbal and written skills. Excellent communicator, both in-person and online. Salesforce and EMR/EHR. Microsoft Suite (Outlook, Word, Excel, Forms, Teams) and Google Suite (Google Drive, Google Sheets).
- Experience - Has worked as a healthcare administrator or similar
- Personal Characteristics - Outgoing, reliable, fluent conversationalist, strong interpersonal skills, detail-oriented, flexible, positive, quick learner, self-starter and self-motivated.
- Can contribute to a positive work environment and work culture
- Current Driver’s License
Availability
- Able to be present on time at the start of each shift.
- Able to work in the range of 7:30am – 7:30pm, Monday – Friday
- Able to work overtime or occasional weekends as needed.
Preferred Experience and Qualifications:
- Basic Life Support / CPR training preferred, but not required.
- Clinical experience (at any level) preferred, but not required.
- Leadership experience preferred, but not required.
- TMS Experience preferred, but not required.
- Insurance experience preferred, but not required.
Job Description:
- Create a supportive and inviting patient experience. Will be one of the first people to interact with people on their patient journey. Engage, empathize, and converse with patients and family.
- Assists the TMS Coordinator in the facilitation and treatment planning of all patients
- Assists the TMS Coordinator in leading the Coordination team and managing administrators.
- Comprehend and manage multiple types of treatments including, but not limited to: TMS, Spravato, therapy, medical devices.
- Assists in completing prior authorizations for patients to submit to insurance.
- Communicate with physicians and team members to coordinate care through Slack and Tiger.
- Collaborating with internal and external physicians, therapists, care coordinators, and administrative staff on patient care as well as operational procedures
- Stay available and answer calls in queue. Respond to live calls, email inquiries, online chat, SMS, and faxes.
- Work out of EHR and CRM systems on patient leads and schedule utilization.
- Occasionally contact insurance companies to conduct and complete benefit investigations on scheduled new patients as needed.
- Understand the clinic flow and manage team administrators.
- Learn to provide Acacia’s patient focused, holistic TMS experience.
Compensation Range: $25 to $35 per hour depending on experience
Training: 3 month probationary/training period followed by a 3 month administrative period
Weekly Hours: minimum 40 hours
