**Job Summary**

We are looking for a motivated and organized Front Office Assistant to join our busy Accounting and Tax Office. The ideal candidate will excel at providing exceptional customer service and administrative support, ensuring smooth operations in a fast-paced environment. Responsibilities will include managing phone lines, handling client communications, and maintaining accurate client records.


**Responsibilities and Duties**

- Answer a high volume of incoming phone calls professionally and courteously.

- Take and relay messages via phone or email to appropriate team members or clients.

- Return messages and emails promptly to maintain effective communication with clients.

- Schedule and manage appointments for clients efficiently.

-Taking detailed notes

-Manage customer relationship management (CRM) and workflow tasks efficiently and accurately.

- Greet clients warmly upon arrival and ensure they feel welcomed and informed.

- Input and update client information accurately in our database.

- Review all documents and information clients provide to ensure completeness and accuracy.

- Prepare necessary paperwork for clients to pick up, ensuring all documentation is ready in a timely manner.

- Proactively contact clients to notify them when their paperwork is ready for pick-up.

-Demonstrate the ability to manage multiple tasks while handling various responsibilities effectively.

- Maintain composure and efficiency while working under pressure in a high-traffic environment.


**Working days and hours**

Monday- Friday ( Some weekends )

8:30 am - 5:30 pm

The office is particularly busy from January to the end of April. On some days, you may be asked to work later or on weekends.

It is important to minimize time off or days off during these months.


**Qualifications and Skills:**

- Previous experience working in a tax or accounting office is required.

- 4 years or more as office manager.

- Previous experience working in an office is required.

- Knowledge of tax forms and general accounting practices is essential.

- Highly organized and detail-oriented with a strong ability to manage time effectively.

- Excellent communication skills, both verbal and written.

- Typing Skills

-Detailed Note Taking

- Ability to multi-task and perform well under pressure in a busy setting.

- Reliable and punctual, with a strong work ethic and commitment to the job.

- Proficient in using office software and technologies.

Job Types: Full-time, Part-time, Temporary, Temp-to-hire


Pay: $17.50 - $22.50 per hour
