This multi-disciplinary science society is seeking an Executive Assistant to provide administrative support to their CEO and Chief of Staff. In this role, you will play a critical role in maintaining smooth day-to-day operations and serve as a point of contact between the Executive Office and internal staff and external contacts. Key Responsibilities:
- Manage and ensure the steady flow of complex day-to-day calendars for the CEO and the Chief of Staff, keeping them updated and prepared throughout their days.
- Coordinate all meeting logistics, including preparation of meeting rooms and agendas, prioritizing agendas to ensure efficient use of time, and follow-up as needed.
- Organize and manage all incoming calls, requests, and correspondence to ensure they are addressed and responded to in a timely manner.
- Arrange complex, detailed domestic and international travel plans and prepare expense reports.
- Maintain up to date with ongoing projects, and office priorities to keep track of progress and adjust priorities as needed.

What We’re Looking For:
- Experience. You have 7-10 years prior experience providing administrative support with 5 years specifically supporting C-Suite executives.
- Technically skilled. You are skilled in navigating the applications of Microsoft Office, and Zoom, and have experience with other office-related programs.
- Flexible. You are a team player, who is reliable and willing to work overtime and travel as needed.
- Highly organized. You are an exceptional multitasker, who can juggle a heavy workload with the ability to prioritize tasks in an efficient manner.
- Discrete communicator. You have strong communication skills, keeping team members up to date, and can be trusted to operate discretely and maintain confidentiality at all times.
