Job Summary: The Finance Director (Business Office Manager) at Edison Christian Life Services plays a critical role in overseeing the financial operations of the organization, which includes Edison Christian Life Services and Edison Christian Foundation. The position reports to the Administrator and oversees the Business Office Personnel. The director will ensure that all financial activities align with generally accepted accounting principles (GAAP), as well as local, state, and federal regulations.
Primary Responsibilities: - Financial Oversight: Lead and manage the overall financial operations of the non-profit organization, including budgeting, financial planning, reporting, and ensuring compliance with relevant laws and regulations.
- Policy Development: Develop and maintain written policies and procedures for accounting functions, ensuring that the organization’s financial activities are conducted in line with industry standards.
- Financial Reporting: Report, interpret, and review monthly financial statements for the Administrator and Board of Directors, helping the leadership team understand the organization’s financial health. The manager will also provide financial projections and recommendations for organizational performance.
- Key Performance Indicators: Work with the Administrator and department heads to identify financial key performance indicators (KPIs) and establish a system to monitor and ensure the organization’s fiscal health.
- Budgeting: Collaborate with the Administrator to develop yearly budgets, which may be presented to the Board of Directors. The role will also involve tracking expenses and making adjustments as needed.
- Regulatory Compliance: Prepare and submit financial records and cost reports to government agencies in line with current regulations, including Medicaid and Medicare requirements.
- Audit Coordination: Select and liaise with CPA auditors, serving as the primary contact for external auditors. The manager is responsible for preparing and organizing necessary documents for audits.
- Billing and Collections: Oversee billing processes, including Medicaid, Medicare, and other insurance plans. Ensure that billing is accurate, timely, and compliant with applicable regulations.
- Payroll and Employee Benefits: Manage payroll processes using UKG/Kronos software, ensuring accurate tax payments, employee benefits, and compliance with the Family and Medical Leave Act (FMLA) and other regulations.
- Accounts Management: Oversee accounts payable (A/P), accounts receivable (A/R), and general ledger functions, using Point Click Care software. The manager will also address delinquent accounts and provide solutions to resolve financial obstacles.
- Supervision and Team Management: Direct and supervise the Business Office personnel. This includes recruitment, evaluating job performance, providing training, addressing behavioral issues, and ensuring the department operates effectively.
- Collaboration with Departments: Work closely with the admissions office to ensure pre-admission financial evaluations are accurate and complete. Collaborate with other departments to improve financial services and address challenges.
Additional Duties and Responsibilities: - Compliance and Ethics: Ensure that the organization maintains a high standard of ethics and compliance with all policies and procedures, adhering to state and federal guidelines, and upholding resident rights and confidentiality.
- Safety and Emergency Procedures: Participate in safety drills and emergency response planning. Ensure the organization’s policies on safety, hygiene, and infection control are followed.
- Resident Financial Support: Provide guidance to residents and their financial responsible parties to obtain Medicaid or other financial assistance programs.
- Fundraising Support: Oversee and manage donations for both the Edison Christian Life Services and the Edison Christian Foundation. Assist with fundraising efforts by maintaining accurate records of donations.
- Training and Development: Continuously stay updated on new regulations and accounting practices in the skilled nursing industry. Teach and train staff on new initiatives impacting the organization’s fiscal operations.
Qualifications and Experience: - Education: A Bachelor’s degree in Accounting, Business Administration, or a related field is preferred.
- Experience: At least three years of experience in billing or supervisory roles within healthcare organizations, such as hospitals or nursing homes. Experience in a non-profit setting is preferred.
- Knowledge: Strong understanding of skilled nursing regulations, Medicare and Medicaid reimbursement processes, and the overall healthcare regulatory environment.
- Technical Skills: Proficiency with financial management software (Point Click Care for accounting, A/R, and A/P; UKG/Kronos for payroll). Competency in Excel, Word, Adobe, and other digital reporting tools is required.
