Jon Summary : The Contract Administrator plays a pivotal role in the management, execution and oversight of contracts within L&S Mechanical contract lifecycle. Working with and reporting to the company’s General Counsel as well as attorneys from other firms, this position is crucial for confirming that all contractual terms and conditions are executed timely in compliance with corporate policies, legal requirements and to protect the company’s interests and objectives.
Key Responsibilities
Review and Redlining
- Reviewing contracts to ensure completeness and accuracy, aligning with internal corporate policies and external regulatory requirements, where applicable.
- Analyze potential risks involved in specific contract terms and stipulations and use insights to mitigate risk through strategic contract language.
- Communicate with internal stakeholders (e.g., Operations, Legal, Finance, HR, IT, and Procurement Departments) to assure the contract’s terms are feasible and reflect the organization’s capacity and business strategy
Negotiations
- Facilitate communication between the organization and third parties to clarify contract conditions and ensure all parties are on the same page.
- Track all ongoing negotiations
Execution
- Communicate regular updates to key stakeholders as to contract status including outstanding items and next steps.
- Facilitate and obtain all necessary signatures and approvals
- Administering proper contract execution strategies to avoid legal challenges and penalties
- Addressing and resolving any disputes that arise out of contract performance or interpretation
Maintaining
- Maintaining organized records of all contracts and related documentation, facilitating easy access and retrieval when necessary
Education and Certification Requirements
- Solid understanding of legal terminology relevant to contract law and the specific regulations of the Construction industry, specifically in Residential New Construction, Commercial, Build to Rent and Multi-Family.
- Proven experience in contract administration or a similar role, ideally within the industry, is highly beneficial
- Excellent written and oral communication skills, with the ability to manage disputes diplomatically
- Exceptional organizational skills and attention to detail
- Proficient in a suite of Microsoft applications, including Word and Excel.
- Ability to oversee multiple projects simultaneously with minimal supervision
