Job Overview

This role serves as the initial point of contact for users seeking assistance with document management and word processing issues. The ideal candidate should have advanced technological proficiency and a strong willingness to learn new systems quickly. A professional, approachable attitude and a commitment to outstanding customer service are crucial for success in this role. The person in this position will be self-driven, adaptable, and eager to resolve challenges, with exceptional communication and interpersonal skills being key to their success.


Key Responsibilities

  • Manage document creation, editing, and formatting using tools such as Windows 10, Office 2016/365, iManage, Word, Excel, PowerPoint, Microsoft Outlook, Nuance PDF Converter, Adobe Acrobat, Kofax, Best Authority, Westlaw, Lexis, Aderant, and related software.
  • Assist with the testing and evaluation of application upgrades, providing feedback and recommendations.
  • Support document conversion and clean-up tasks, and create/revise complex legal documents in compliance with company guidelines.
  • Provide user support and technical assistance via email, phone, helpdesk systems, and in person.
  • Handle the printing of complex legal documents.
  • Facilitate the creation and editing of Tables of Authorities and Tables of Contents using Best Authority, and manage hyperlinking and bookmarking with Westlaw and Lexis.
  • Perform data entry using various software and transcribe dictations (BigHand).
  • Demonstrate proficiency in e-filing procedures for both federal and state courts in NJ/NY.
  • Manage and perform In-Person/Virtual Notarization duties as needed.
  • Provide administrative support, such as performing department secretary duties, when required.


Required Skills and Experience

  • At least 5 years of experience in a law firm setting, specifically in secretarial or word processing roles.
  • Expertise in legal software and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), as well as familiarity with Windows 10, Office 2016/365, iManage, and related tools.
  • Ability to manage multiple tasks and meet deadlines efficiently.
  • Excellent customer service skills with a problem-solving mindset.
  • Strong organizational and interpersonal skills.
  • Exceptional written and verbal communication skills.
  • Capability to quickly adapt to new technology and systems, and develop the necessary skills to answer user inquiries.
  • Ability to work independently and collaboratively within a team.
