Job Title: Receptionist (TEMP Contract)

Shift: 7:30am - 4:30pm; Monday - Friday

About the Role:
Forrest Solutions is seeking a proactive and detail-oriented Receptionist for a temporary contract in our Minneapolis office. In this full-time role, you'll be an integral part of our Regional Office Services Team, ensuring the smooth operation and professional appearance of our office. Reporting to the Office Services Manager, you will play a key role in supporting a variety of administrative and operational functions.
Key Responsibilities:
- Administrative and Office Maintenance: Perform on-site administrative tasks to keep the office environment well-maintained and organized. This includes managing conference rooms, common areas, offices, desks, and kitchens.
- Reception Duties: Provide top-notch reception support by greeting and escorting guests, answering phones, assisting with transportation, and covering the reception desk as needed.
- Meeting and Event Support: Assist with room bookings and meeting setups, including arranging furniture and managing audio-visual equipment. Order and set up catering for in-office meetings, ensuring all food and beverage needs are met.
- Pantry and Catering Management: Reload coffee machines, restock pantry items including snacks, fruit, coffee, and utensils. Order and set up catering for meetings and events, and coordinate vendor services for internal maintenance requests.
- Mailroom and Equipment Operations: Process and sort mail, prepare packages for shipment, organize couriers, and operate duplicating and binding equipment. Ensure that printers are reloaded with supplies and functioning properly.
- IT and Equipment Support: Serve as a point-of-contact for global IT support, assist with basic IT tasks, deploy office technology, administer keycards and badges, and maintain tracking and reporting systems.
- Team Collaboration: Work closely with the Regional Office Services team, providing backup support to colleagues as needed and contributing to a collaborative work environment.
Qualifications:
- Bachelor’s degree preferred.
- 2-5 years of professional experience in a reception or administrative role, preferably in a professional services setting.
- Demonstrated efficiency in administrative processes and a proactive, service-oriented approach.
- Strong independent work ethic with excellent communication skills, both oral and written.
- Proficiency in MS Office Suite (Word, PowerPoint, Excel, Outlook) and a willingness to learn new applications.
- Strong organizational skills with the ability to manage multiple tasks and adapt to changing priorities.
- Ability to lift up to 40 pounds.
- Flexibility to work overtime occasionally, especially for special events.
