Summary
The Invoicing Specialist is responsible for managing the billing process for fulfilled orders, ensuring that all invoices are accurately generated, documented, and sent to customers on time. This role collaborates closely with the fulfillment, logistics, and customer service teams to verify order completion, resolve billing discrepancies, and maintain a smooth invoicing process. The ideal candidate possesses strong attention to detail, excellent organizational skills, and a customer-focused approach to ensure timely and accurate invoicing.
Duties and Responsibilities
- Generate and process invoices for fulfilled customer orders, ensuring accuracy in pricing, discounts, and product details.
- Verify fulfillment details with the logistics and warehouse teams before finalizing invoices.
- Record and maintain billing and fulfillment information in the company’s accounting or ERP system.
- Address and resolve billing discrepancies or issues by communicating with customers and internal teams.
- Support customer inquiries related to billing, order fulfillment, and payments, providing prompt and professional assistance.
- Collaborate with the customer service team to ensure accurate customer account information, including updated billing addresses, payment terms, and contact details.
- Prepare regular reports on billing activities and outstanding balances to provide insights to management.
- Ensure compliance with company policies, industry standards, and applicable regulations in all billing activities.
- Assist with month-end and year-end billing and reconciliation processes.
Qualifications & Experience
- Education: High school diploma or equivalent; an associate’s degree in business, accounting, or a related field is preferred.
- Experience: 2+ years of experience in billing, invoicing, customer fulfillment, or accounts receivable.
- Skills:
- Excellent attention to detail and accuracy in billing and data entry.
- Proficiency with accounting software (e.g., SAP, QuickBooks, or similar ERP systems) and Microsoft Office, especially Excel.
- Strong organizational and time-management skills.
- Effective communication skills to liaise with internal teams and customers.
- Problem-solving skills for handling billing discrepancies and customer issues.
- Basic understanding of fulfillment and accounts receivable processes.
