Job Description
Our beverage catering division is looking for an Office Coordinator with more than five years experience managing people.  You will lead a dedicated in-house team, and external contractors. The ideal candidate holds a bachelor’s degree, has a great deal of self-sufficiency. Our goal is to increase the number of clients booked through our sales team, and we hope you can help us get there by managing our current client event requests.

    WAREHOUSE

  • Purchase bar catering equipment and coordinate inventory counts. 
  • Purchasing Speciality Items not available from standard suppliers.
EVENT PRODUCTION
  • Printing Cart Signage + Updating Warehouse Dashboard Station
  • Printing of rental orders, timelines and floor plans 
  • Production of day-of-event binder
  • Maintain company Google Calendar
  • Obtain quotes from outside vendors for subcontracted services 
  • Coordinate the completion of all requested venue forms
  • Distribute event BEOs and menus to production coordinator, warehouse team + on-site team
  • Work with Events Manager to hire event staff and schedule shifts
  • Conduct post-event audits (Lead Feedback + Slack Channel) to ensure continuous improvement
  • Work with production team to receive all necessary information at least 10 days in advance of any contracted event
  • Communicate with Production Coordinator on Post Event Debrief Report

OPERATIONS STAFF MANAGEMENT

  • Managing schedules, overtime, and weekend hours for all warehouse staff (not event staff)
  • Maintaining roster of holiday/seasonal/part time help
  • Payroll overview of warehouse help hours
  • Schedule temp staff as needed
  • Adjust warehouse timesheets as needed. 

FLEET MANAGEMENT

  • Arranging for Gas Fill Ups as needed
  • Managing Fleet (Vans Oil Changes, Tires, Etc)
  • Renting transportation and Costs Associated with it.

FACILITY MANAGEMENT

  • Warehouse facility overall maintenance 
  • Facilitate having clean kitchen at all times
  • Facilitate end of shift walk through with Warehouse Associate
  • Schedule Laundry Pickups/Drop Offs

GENERAL ADMINISTRATION

  • Pay for COD transactions in warehouse as needed
  • Apply for and track ABC Event Permits
  • On-Site Event Staff Meal Ordering
