Full-Time Administrative & Marketing Manager
A wealth management and financial planning firm is searching for a dedicated and experienced Administrative Manager to support our President & Financial Advisor.
Primary Responsibilities
- Manage the President's schedule, including coordinating appointments and handling logistical details to ensure efficiency.
- Oversee and maintain our Smart Office CRM, including tracking clients and prospects, updating records, and managing the sales funnel.
- Draft professional correspondence and handle client communication.
- Organize and send holiday and birthday cards, gifts, newsletters, and marketing materials.
- Plan and coordinate client events.
- Partner with team members to maintain smooth office operations, including preparing paperwork and organizing conference rooms for meetings.
- Greet clients and assist with creating a welcoming office environment.
- Arrange travel plans for the President, including flights, accommodations, and ground transportation.
Required Skills & Qualifications
- Proficiency in Microsoft Office, particularly Excel.
- Strong organizational skills with the ability to juggle multiple projects while maintaining attention to detail.
- Deadline-oriented with excellent time management skills.
- Self-starter who takes ownership of tasks, works independently, and collaborates effectively with the team.
- Experience using CRM systems.
- Exceptional communication skills, both written and verbal.
- Ability to maintain strict confidentiality in all matters.
- Quick learner with a proactive approach to problem-solving.
- Detail-focused, ensuring all work is double-checked for accuracy.
- Positive attitude, dependable, and respectful.
- At least 2 years of experience as an administrative manager in a professional service setting (financial services experience preferred).
