Position Overview
Ultimate Staffing is actively seeking a highly organized and proactive Project Executive Assistant to join a dynamic team in California. This role involves supporting executives and project teams by managing administrative tasks, coordinating projects, and ensuring efficient communication across departments. The ideal candidate will be an adaptable and detail-oriented individual capable of handling multiple responsibilities in a fast-paced environment. Please note that this is a temp-to-hire position.
Key Responsibilities
- Administrative Support: Provide high-level administrative assistance to executives, including managing calendars, scheduling meetings, and handling correspondence.
- Project Coordination: Assist in planning, executing, and monitoring projects, ensuring deadlines are met and deliverables are achieved.
- Communication Management: Serve as a liaison between executives, project teams, and stakeholders, facilitating clear and effective communication.
- Documentation: Prepare and maintain project documentation, including reports, presentations, and meeting minutes.
- Research and Analysis: Conduct research and compile data to support project initiatives and decision-making processes.
- Task Management: Track project tasks and deadlines, ensuring timely completion and follow-up with team members as necessary.
- Event Coordination: Organize and coordinate project-related events, meetings, and workshops.
Qualifications
- Education: Bachelor's degree is required.
- Proven experience as an executive assistant or in a project support role.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in office software (e.g., Microsoft Office Suite, project management tools).
- Ability to work independently and collaboratively in a fast-paced environment.
- Strong problem-solving skills and adaptability to changing priorities.
Preferred Qualifications
- Experience in project management or related field.
- Relevant certifications (e.g., Project Management Professional, Certified Administrative Professional) are a plus.
Work Hours
Monday - Friday, 8:00 AM - 5:00 PM
Benefits
The position offers a competitive salary ranging from $90,000 to $120,000 annually, based on experience and qualifications.
