Position Summary:
The Property Manager plays a pivotal role in overseeing a portfolio of commercial retail properties, ensuring operational excellence, landlord/tenant satisfaction, and optimal property performance. This position requires expertise in property operations, financial oversight, lease management, office administration, and team collaboration.
Responsibilities:
Operational Management:
- Oversee day-to-day operations of assigned properties, including leasing, maintenance, and budgeting.
- Collaborate with the Internal Facilities Team to ensure timely and efficient maintenance and repairs in accordance with lease requirements.
- Enforce lease agreements and manage landlord/tenant compliance issues.
- Work closely with our Retail Operations Teams on property and lease-related matters.
Financial Oversight:
- Prepare and manage property budgets, including tracking and reviewing store P&L’s.
- Review and approve invoices, reconciliations, and landlord payments and tenant rent collections.
- Administer pass-through expenses such as CAM, utilities, taxes, % Rents and CPI adjustments.
- Processing Landlord & Tenant rents-review Lease Variance and make sure amounts balance month to month.
- Responsible for lease accruals and collaborating closely with the Fixed Assets Team on lease accounting requirements.
Lease Administration:
- Track and manage lease terms, expirations, and financial obligations.
- Draft and negotiate lease documents, renewals, amendments, estoppels, and any other lease-related documents.
- Ensure timely execution and distribution of lease-related documents.
- Works closely with Senior Property Manager to obtain approvals for new leases, renewals, and terminations for internal approvals from senior leadership.
- Coordinate with other departments (e.g. acquisitions, dispositions, construction, accounting, finance and legal) in relation to property management functions.
- Develop and manage spreadsheets utilizing Excel and Smartsheet for tracking projects and costs (including graphics, pivot tables, macros, and formulas.).
- Works closely with the Legal Team and outside counsel on litigation matters
Collaboration:
- Partner with Senior Property Manager to achieve leasing and marketing objectives.
- Collaborate with cross-functional teams, including construction, legal, finance, and IT Department.
- Conduct due diligence to gather and validate property and lease information for decision-making.
- Conduct extensive due diligence to gather pertinent information that assists in project scope development.
Tenant Relations:
- Works closely with our Project Manager and assists with all aspects of tenant lease compliance, including tenant communication, approvals, new tenant leases, lease amendments, maintenance requests, rent collections.
- Maintain strong relationships with tenants by addressing inquiries and resolving issues.
- Manage vacant space inquiries and ensure timely responses to tenant needs.
- Obtain and monitor tenant insurance certificates and compliance documents.
Documentation and Reporting:
- Maintain accurate property and lease records in the central database (MRI Horizon). To include system upgrades, and maintenance.
- Develop and manage tracking tools in Excel or Smartsheet for projects and costs.
- Manage electronic filing systems, including maintenance of file structures and uploading of documents.
- Work with third party vendors on lease abstraction.
- Prepare and present property performance reports to stakeholders.
- Special projects as needed.
Working Relationships : Interfaces with senior management and other internal company personnel in addition to third-party vendors.
Requirements
Minimum Education:
Associate degree: Bachelor’s Degree preferred
Minimum Experience:
Minimum of 3 years of Property Management and Lease Administration experience
Preferred Experience:
3+ Years of property management experience including proficiency in budgeting, scheduling, scope development, Microsoft Office. Knowledge of office management preferred with the ability to multi-task.
