The Executive Assistant will provide high-level administrative support to the Managing Partner and Chief Operating Officer. The ideal candidate will be exceptionally organized, efficient, and capable of thriving in a fast-paced and demanding environment. This role requires impeccable professionalism, and the ability to handle confidential information with discretion, think critically, and adopt a proactive and dynamic approach to managing multiple priorities.
Executive Assistant Responsibilities:
- Efficiently manage the Executive's calendar.
- Prioritize inquiries and requests while troubleshooting conflicts; make judgments and recommendations to ensure smooth day-to-day operations.
- Act as a liaison and provide support to the Executive Committee.
- Arrange and handle all logistics for Committee meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation material.
- Complete a wide variety of administrative tasks that facilitate the executive's ability to effectively lead the organization, including: assisting with special projects; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense reports.
- Serve as the primary point of contact for internal and external parties on all matters pertaining to The Executives, including those of a highly confidential or critical nature.
- Work closely with The Executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Anticipate needs in advance of meetings, conferences, etc.
- Coordinate all Executive Team, Management Team, and Partner meetings and assist with staff meetings and events as needed.
- Analyze new clients and matters by submitting new matter intake forms, running conflict checks, and maintaining all client files for the Managing Partner.
- Assist The Executives with firmwide recruiting initiatives, including organizing resumes, scheduling interviews, and assisting with offer letters and onboarding of new employees.
- Other duties as assigned.
Executive Assistant Requirements:
- Bachelor’s degree in business administration or relevant field.
- 5+ Years of experience working as an Executive Assistant in a professional service or legal
- environment required.
- Strong computer skills, including proficiency with Microsoft Office.
- Ability to organize work, establish priorities, and multitask in a fast-paced environment.
- Excellent communication, grammar, and punctuation.
- Strong project management skills.
- Flexibility to work non-standard business hours as necessary.
- Ability to work in-office every day
