Position Summary:
Grassroots is seeking a Staff Accountant who will be responsible for the agency’s support the daily operations of the finance and accounting needs of the organization. The team is cross trained in various functions of accounting, payroll, and auditing as follows. Standard hours for this position are Monday – Friday; 9:00am – 5:00pm. Must be flexible to work evenings and/or weekends based upon programming deadlines.
Qualifications:
- Bachelor’s degree, preferably in Accounting, Finance, or Business.
- Three years’ experience in accounting or finance (preferably with a nonprofit or government entity).
- Experience using accounting software is required (QuickBooks Online).
- Experience with contracts and grants accounting or other regulatory experience is preferred.
- Experience with online payroll processing is a plus.
Primary Responsibilities:
- Monthly accounts receivable preparation of detailed invoices for cost-reimbursable contracts
- Daily entry of credit card charges and monthly reconciliation, including verifying receipts
- Responsible for daily and weekly accounts payable processing (checks and credit cards)
- Provide ongoing support for the annual audit by assembling documentation and preparing reports.
- Process daily deposits in QuickBooks Online
- May prepare or assist with the bi-weekly payroll processing (Paychex)
- Research for internal and external accounting inquiries.
- Assist with the monthly bank reconciliations.
- Provide support for monthly G/L reconciliations.
- Perform quarterly inventory of company’s gift cards.
- Manage the petty cash program.
- Maintain all A/P records while following GR’s Document Retention Policy & Procedures
- Assist with annual 1099 processing.
- Assist with providing data for annual budget preparation.
- Ability to maintain confidentiality.
- Other duties as assigned.
Agency-wide Responsibilities:

- Participate in supervision, in-service training, and staff meetings.
- Maintain good working relationships with co-workers and positively contributes to group morale.
- Complete all administrative duties including time sheets, leave requests, etc.
- Participate in special task forces, committees, or special projects as needed.
- Use appropriate channels of communication to resolve conflicts with other staff.
- Interact with staff, clients, and visitors in a professional and courteous manner.
Skills and Abilities:
- Proven analytical, logical, and decision-making skills.
- Ability to meet tight deadlines and track multiple projects in a fast-paced changing environment.
- Must be proficient with Microsoft Excel and Word.
Work Conditions:
- Private office, fast-paced environment.
- Must be able to work evenings and weekends, if needed for program deadlines.
- Physical demands are minimal.
- Evening availability may be required due to high workflow.
