Position Overview:

We are seeking an experienced and detail-oriented Legal Executive Assistant to provide high-level administrative support to multiple attorneys in a fast-paced and collaborative environment. This hybrid role offers flexibility while requiring a proactive and organized professional to manage a variety of tasks efficiently. The ideal candidate will have five or more years of executive assistant experience, preferably within a law firm setting.

Key Responsibilities:

  • Provide comprehensive administrative support to multiple attorneys, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Prepare, proofread, and format legal documents, correspondence, and presentations with a high level of accuracy.
  • Manage email and correspondence, prioritize tasks, and ensure timely follow-up on critical matters.
  • Coordinate and monitor deadlines for filings, court submissions, and other legal processes.
  • Assist in billing and time entry processes, ensuring accuracy and timeliness.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Liaise with clients, court personnel, and other external parties on behalf of the attorneys.
  • Organize and maintain both electronic and physical files in accordance with firm policies.
  • Perform general administrative tasks, such as ordering office supplies, preparing expense reports, and maintaining attorney contact lists.
  • Assist with special projects and other duties as assigned by attorneys.

Qualifications:

  • Five or more years of executive assistant experience in a law firm or legal setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and legal software tools.
  • Exceptional organizational and time management skills with the ability to handle multiple priorities and meet deadlines.
  • Strong written and verbal communication skills, including professional client interaction.
  • High level of attention to detail and accuracy in all tasks.
  • Ability to work independently and collaboratively as part of a team.
  • Experience handling billing processes and familiarity with legal timekeeping software is a plus.
  • Professional demeanor with a commitment to delivering exceptional service.
