Johns Hopkins University supports a flexible work model which includes four different work modalities. This role has a hybrid work arrangement with an onsite presence of three days per week. The manager will confirm the team's core onsite days where the majority/all team members will work in the office. Employees who travel on university business can count those days towards their onsite days.
The Communications Project Specialist reports to the Senior Director of Strategic Initiatives in the Office of Strategic Initiatives and serves as the primary coordinator for narrative donor reporting and stewardship materials. This position requires a detail-oriented professional who can manage the end-to-end production of quarterly donor reports, support weekly leadership meetings, and draft weekly summaries in collaboration with University Communications. Beyond maintaining exceptional quality standards in report production, the role involves comprehensive document management, from organizing meeting agendas to maintaining historical records for future reference. Success in this role demands strong project management capabilities to coordinate complex workflows, implement rigorous quality control measures, and meet concurrent deadlines in a fast-paced environment. The ideal candidate will combine meticulous attention to detail with the ability to adapt to changing priorities, while upholding the highest standards of professionalism and confidentiality.
Key responsibilities:
- Manage production schedules and workflows for quarterly donor reports using project management tools such as Asana, Loop, or other platforms as needed
- Coordinate with OSI team members to gather reporting information and track project milestones
- Review and refine reporting content through comprehensive copy editing and proofreading
- Format reports using Microsoft Office Suite, Canva, or other design tools while ensuring adherence to university brand guidelines
- Implement and maintain quality control processes throughout production workflow
- Support weekly leadership meetings by creating agendas and organizing materials
- Draft weekly highlights for donor team in coordination with University Communications
- Organize and maintain reports and updates for historical reference
- Draft, edit, and proofread additional stewardship communications
- Support special reporting requests and time-sensitive project needs as they arise
Minimum Qualifications - Bachelor's degree in related field.
- Two years related experience.
- Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
Preferred Qualifications - Demonstrated ability to manage complex projects
- Strong copy editing and proofreading skills
- Proficiency in Microsoft Office Suite
- Proven track record of meeting concurrent deadlines
- Experience working both independently and collaboratively
- Experience in higher education or nonprofit development
- Proficiency in graphic design tools (examples include Adobe InDesign, Canva)
- Experience with project management platforms (examples include Asana, Loop)
- Track record of successful process improvement initiatives
- Ability to work occasional evenings or weekends
