Manufacturing company is look for a highly organized and proactive Office Manager with Executive Assistant responsibilities to provide comprehensive administrative support to senior leadership. This role involves handling confidential tasks, managing schedules, and coordinating key business functions to enhance operational efficiency. This person will oversee office management responsibilities to maintain a productive and professional workplace environment. Success in this role requires strong communication skills, independent decision-making, and the ability to manage multiple priorities in a fast-paced setting.


About the Role

Senior Leadership & Administrative Support


  • Manage complex calendars, scheduling meetings, and handling travel arrangements for executive leaders.
  • Prepare detailed travel itineraries and process expense reports, ensuring compliance with company policies.
  • Act as a liaison between senior leadership and internal/external stakeholders.
  • Assist in the coordination of leadership meetings, including agenda preparation and document distribution.
  • Support executives with administrative tasks such as report generation, correspondence review, and data organization.

Operational & Office Management


  • Oversee office operations to ensure a smooth and organized work environment.
  • Manage vendor relationships and coordinate office maintenance needs.
  • Handle procurement tasks, including supply ordering and expense tracking.
  • Maintain security protocols, including managing access badges and office entry procedures.
  • Organize company events, executive visits, and employee engagement initiatives.

Business Coordination & Documentation


  • Assist in preparing presentations, reports, and key business documents.
  • Ensure accurate documentation and record-keeping for critical business functions.
  • Support financial processes such as budget tracking, purchase requisitions, and reconciliation of company expenses.
  • Facilitate cross-departmental communication to align operational priorities.


Qualifications

  • High school diploma required; Associate's or Bachelor's degree preferred.
  • Minimum of 5 years in an executive assistant or senior administrative role within a corporate setting.
  • Strong proficiency in Microsoft Office (Excel, PowerPoint, Outlook, Teams) and familiarity with business applications such as SAP and expense management software.
  • Excellent organizational, time management, and problem-solving abilities.
  • Strong written and verbal communication skills with a high level of professionalism.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • A proactive, adaptable approach with the ability to work independently.
