What's Cool About This Job

We are seeking a highly organized and proactive Executive Assistant for our CEO and others on the Leadership team, to provide comprehensive support to our senior executives. This role demands a meticulous attention to detail, a high level of professionalism, and the ability to manage multiple tasks efficiently in a dynamic, fast-paced environment. The ideal candidate will be a problem solver who is adept at prioritizing tasks and managing communications across the organization.

Responsibilities include:
  • Manage and maintain executives' schedules, appointments, and travel arrangements.
  • Act as the point of contact between the executives and internal/external clients.
  • Handle confidential documents ensuring they remain secure.
  • Prepare invoices, reports, memos, letters, financial statements, and other documents.
  • Handle incoming emails, calls, and other forms of correspondence.
  • Take minutes during meetings and follow up on action points.
  • Conduct research and prepare presentations or reports as assigned.
  • Manage office supplies and coordinate maintenance of office equipment.
  • Coordinate project timelines and follow up with team members where required.
  • Assist in the preparation of regularly scheduled reports.
  • Provide general administrative support.


Desired Qualifications
  • Proven experience as an executive assistant or other relevant administrative support experience.
  • In-depth understanding of entire MS Office suite.
  • Ability to organize a daily workload by priorities.
  • Must be able to meet deadlines in a fast-paced quickly changing environment.
  • A proactive approach to problem-solving with strong decision-making skills.
  • Professional level verbal and written communications skills.
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities.
  • Lead with empathy, and value discretion and confidentiality.
  • Friendly and professional demeanor.
  • Must be able to come into our office in Campbell, CA

USA Residents Only: The hiring wage range for this position which the Company reasonably and in good faith expects to pay for the position in the specified geographic areas or locations, is $90,000-140,000. Final compensation will be dependent on various factors relevant to the position and candidate such as geographical location, candidate qualifications, certifications, relevant job-related work experience, education, skillset and other relevant business and organizational factors, consistent with applicable law. In addition, the position may include some of the following comprehensive benefits such Medical, Dental, Vision, Life, 401(K), Flexible Time off (FTO), sick time, leave of absence as per the FMLA and other relevant leave laws.
