WHAT YOU’LL DO


As the Payroll Specialist, you’ll be responsible for monitoring and confirming our systems and processes are set up to ensure payroll compliance with state, federal, local payroll rules, and tax regulations. This role will make certain any changes in payroll tax laws are implemented across all lines of business. This position will conduct weekly and quarterly audits of current payroll set-ups to certify compliance and put together a project plan to address any needed changes. Reporting to the Payroll Manager, the Payroll Specialist will work closely with other members of the accounting team, third party payroll processors, and other groups across the organization.


Day-To-Day Responsibilities:

  • Manage inquiries and requests related to preparation and distribution of payroll
  • Process multistate payroll transactions including salaries, bonuses, commissions, benefits, garnishments, taxes, and other deductions
  • Ensure accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates
  • Assist with payroll integrations with a high degree of accuracy and timeliness
  • Coordinate company payroll tax information with the third-party payroll administrator (UKG) and confirm accuracy and timeliness of filings
  • Keep up with maintenance of employee records
  • Verify compliance with federal, state, and local payroll, wage, and hour laws and best practices, and stay current on changes
  • Facilitate audits by providing records and documentation to auditors
  • Identify and recommend updates to payroll software, systems, and procedures
  • Address employee and partner payroll-related inquiries and ensure a high level of internal customer service
  • Support weekly and bi-weekly payroll processes for sales, union, prevailing wage, and certified payroll requirements
  • Conduct payroll tax research related to compliance as needed and perform periodic audits on internal controls


WHAT WE’RE LOOKING FOR

Must-Haves:

  • Solid understanding of accounting fundamentals, payroll best practices, and US payroll tax
  • Strong analytical and mathematical skills, and be organized, thorough, methodical, and able to use critical thinking skills when solving problems
  • Must have clear and professional communication skills (written and oral) both internally and externally and be able to write logical, comprehensive, concise reports and correspondence
  • Effective communication and interaction with employees, clients, and colleagues and the ability to work effectively with all levels of the organization
  • Demonstrated customer service focus and client communication skills
  • Exceptional organizational skills and excellent attention to detail
  • Energized self-starter capable of working and thinking independently and ensuring to meet deadlines
  • Excellent capability to switch tasks while adapting to changing priorities
  • Ability to maintain integrity and confidentiality with sensitive information
  • Bachelor’s degree in Accounting, Business Administration, Human Resources, or related field required
  • Advanced Excel skills required


Nice-To-Haves:

  • Minimum of 4 years’ experience in payroll of processing
  • Proficient with payroll software, UKG Pro is a plus
  • Experience with administration of payroll, both union and prevailing wage experience preferred
