Matura Farrington is working closely with a fantastic law firm that is looking for a Legal Assistant to join their Glendale office. This role will support 3 attorneys within litigation, so the ideal candidate will have 3-5 years of hands on litigation experience. Position Responsibilities:
- Manage incoming and outgoing communications (phone, email, fax) efficiently.
- Provide exceptional client service, both internally and externally, ensuring professionalism, discretion, and confidentiality.
- Coordinate and arrange travel logistics, including creating itineraries.
- Schedule meetings, book conference rooms, and organize catering as needed.
- Effectively manage and prioritize busy calendars for internal and external meetings.
- Prepare and format documents, including accurate transcription of legal materials within required timeframes. Ensure timely completion of tasks while adhering to deadlines.
- Assist in drafting, proofreading, and editing litigation and business documents, such as pleadings, discovery, settlements, contracts, and client correspondence.
- E-file documents as needed.
- Track and manage deadlines for hearings, mediations, trials, and other critical dates.
- Prepare daily time entries for Partners and attorneys, ensuring timely submission.
- Collaborate with Accounting to ensure accurate billing, including performing Paperless Proforma edits, processing expense reimbursements, and preparing invoices.
- Provide proactive support to other Legal Assistants as time allows, fostering a collaborative team environment.
- Work cooperatively across departments and with various individuals in the firm.
- Utilize sound judgment and initiative to develop and manage project timelines. Anticipate the needs of assigned attorneys and ensure deadlines are met.
- Interact with staff at all levels in a fast-paced, dynamic environment. Maintain flexibility, resourcefulness, and professionalism, even under pressure.
Qualifications & Skills:
- Minimum 3 years of experience as a legal assistant or legal administrative assistant.
- Prior experience in a law firm is preferred; litigation experience is required.
- Some college education is preferred; background in legal studies or paralegal studies is a plus.
- Strong oral and written communication skills, excellent organizational abilities, and problem-solving skills.
- Proactive, detail-oriented, and able to work independently with a professional business style.
- Advanced proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint).
