Our early-stage biotech client is seeking an Administrative Business Partner, to provide high-level comprehensive operational and administrative support to our senior leadership team and company. In this role, you will drive escalation of urgent matters, and you will support and help keep a pulse on the organization’s health and morale.
The ideal candidate for this role will be able to anticipate the needs of our leadership team and the company to help us stay focused on projects by resolving operational and administrative issues before they arise. You will move quickly with the changing environment, stay up to date with the Company’s priorities and progress, and use that knowledge to tactically support our team members across the company.

This position will report to the Sr. Administrative Business Partner.
Key Responsibilities:
• Serves as the key support professional managing highly complex calendars for multiple members of the SLT, including meeting scheduling (internal, virtual, hybrid, and off-site meetings), meeting prioritization, securing conference rooms, ordering catering and "day-of" logistical and administrative support
• Interacts regularly with high-level contacts of a sensitive nature inside and outside the Company in coordinating the affairs of the executives including arranging meetings with investigators and study sites
• Works closely with HR to schedule and manage candidate interviews and provides candidates with confirmations, and interview schedules.
• Books flights/hotels, completes expense reports, and arranges team lunches/dinners and offsite meetings for assigned personnel. Travel may involve more than one destination, international travel, and more than one traveler.
• Based on established departmental procedures, prioritizes and addresses requests for appointments; directly handles most requests; identifies and escalates complex or unusual problems to more senior personnel in a timely manner
• Coordinates activities between departments and/or outside parties; e.g. meeting planners
• Assists in day-to-day office management activities
• Helps in the planning and coordination of Company Off-site events and meetings
• Assists with visitor registration, including pre-registering and escorting visitors
• Builds highly effective, collaborative and productive relationships across the organization and at all levels
About You
• Associate’s degree or Bachelor’s degree with at least 3 -5 years of experience in an administrative support role, project coordination role, or equivalent, preferably within the biotech/biopharma industry.
• Detail-oriented and highly organized with ability to adhere to an expectation of complete confidentiality on all business matters.
• High energy level; comfortable multi-tasking and performing both tactical and strategic projects.
• Prior experience supporting multiple executives in a fast-paced, highly collaborative setting
• Ability to work with minimal supervision while maintaining a high level of confidentiality, tact, and discretion.
• Excellent oral and written communication skills.
• Resourceful in building relationships across and outside the organization.
• Team player with a positive energy and “can-do attitude”, who enjoys a transparent, respectful, and innovative environment.
• Proficiency with Microsoft Office Suite, SharePoint, Adobe, and other relevant software.
