Job Title: Client Onboarding Specialist


Location: Andover, MA


Position Overview: A growing wealth management firm is seeking a Client Onboarding Specialist to join their team. The role involves welcoming new clients, ensuring a smooth onboarding process by preparing business applications, obtaining necessary signatures, and coordinating with advisors and third parties. This position is critical in maintaining a compliant and efficient workflow, while building strong client relationships. The ideal candidate will be highly organized, detail-oriented, and capable of thriving in a fast-paced environment.


Key Responsibilities:

  • Prepare all necessary documentation, including applications, forms, and authorizations, prior to client meetings.
  • Collaborate with advisors to execute client instructions, obtain signatures, and process paperwork through systems such as DocuSign and Fidelity Wealthscape.
  • Maintain clear, professional communication with clients, advisors, clearing firms, and third-party providers to ensure timely business processing.
  • Track and manage submitted business, ensuring timely follow-up and resolution of outstanding items.
  • Report progress during weekly staff meetings and ensure all onboarding tasks are efficiently processed.
  • Provide onboarding training to administrative staff and ensure advisor licensing and training requirements are met.
  • Correspond proactively with clients regarding pending business and respond to inquiries promptly.


Qualifications:

  • Bachelor’s degree required.
  • Minimum of 3+ years of experience in the financial services industry, preferably in a client-facing or onboarding role.
  • Proficiency in Microsoft Office, CRM systems, DocuSign, and financial software platforms.
  • Strong written and verbal communication skills.
  • Excellent organizational and problem-solving abilities, with the capacity to prioritize tasks in a fast-paced environment.
  • Enthusiasm for client service and teamwork.
