Job Responsibilities With our Agency's mission to support the recovery of people with mental illnesses, we provide a complete array of medical and support services for children, adults, and families throughout South Carolina.
This position is located at the SC Department of Mental Health (SCDMH), 220 Faison Drive, Columbia, SC 29203.
As the Administrative Assistant, working under general supervision, you will apply the policies and procedures of the Medicaid, KePRO, and third-party insurance programs for psychiatric, drug and chemical dependency inpatient and outpatient services. Determine patient's insurance eligibility and prepare necessary forms. Assist the Utilization Management Nurse and DMH Reimbursement by providing all insurance information within the required time period. Contact insurance companies and provide demographic information for pre-certification. Prepare medical records for scanning and scans medical records. Assembles and analyzes medical records.
Responsibilities include but are not limited to: - Uses different computer data bases to ascertain if patient is eligible for insurance coverage for psychiatric care. Prepares demographic portion of the KePRO & MCO PA and submits PA paperwork within specified time frames. Maintains Medicaid Certificate Of Need (CON) forms. Enters financial eligibility into Avatar. Provides UM Nurse and DMH Reimbursement with necessary insurance information. Obtains and maintains authorizations for release of medical information and assignment of benefits from patient and/or next of kin and assists families with insurance issues. Makes the initial telephone call to the insurance company to verify insurance. Stays abreast of state and federal regulations governing Medicaid, KePRO and other insurance programs. Serves as lead Insurance Insurance person. Obtains from A&D staff a M-450I signed by the patient/guardian authorizing release of medical information. Prepares and mails insurance correspondence for insurance companies within 24 hours of request. Sends copies of medical records for retrospective review within 24 hours of request.
- Files the completed insurance forms in the inpatient medical records located on nursing units within 24 hours of admission or the first working day following admission. If the patient has been discharged before insurance forms are completed and available for filing, the insurance forms will be filed in the discharged
medical record located in HIS. If the M450-D, for patients in the Recovery program, is not signed at the time of admission; will take form to the patient to obtain his/her signature prior to contacting insurance/precertification companies and/or parent/guardian. - Serves as back-up for the HIS department in the absence of the HIS Director. Assists in HIS Human Resources duties such as being on interview panel, completing necessary forms for filling positions, setting up interviews. Assists HIS Director with Closed Record Reviews.
- Assists in other duties of the Health Information Services Department as needed. (I-A scanning, Assembly/Analysis, ROI, General office duties).
Minimum and Additional Requirements State Requirement: A high school diploma and work experience that is directly related to the area of employment. A bachelor's degree may be substituted for the related work experience.
Agency Requirement: A high school diploma and two (2) years experience in medical records, insurance eligibility determination or office administration.

Preferred Qualifications Associate Degree is secretarial science or other related field.
Additional Comments Must have the ability to sit, stand, and stoop for a considerable amount of time. Ability to lift up to 25 pounds.
