We are seeking an experienced and proactive Executive Assistant to support the CEO and Head of Operations of a rapidly growing stealth technology/software startup in San Francisco, CA. This role requires a highly organized and personable professional with a proven track record of supporting C-suite executives, preferably a CEO or co-founder. The ideal candidate will thrive in a fast-paced environment, demonstrate exceptional communication skills, and build strong relationships with internal teams and external partners.
Responsibilities:
- Manage complex calendars for the CEO, including scheduling meetings, appointments, and coordinating travel plans.
- Prepare and organize meeting agendas, materials, and presentations to ensure smooth and productive discussions.
- Handle sensitive and confidential information with the utmost professionalism.
- Act as the primary point of contact for internal and external communications on behalf of the executives.
- Prioritize and manage incoming communications to ensure timely responses and efficient workflow.
- Arrange detailed travel itineraries, including flights, accommodations, and ground transportation, while addressing any issues proactively.
- Collaborate with other Executive Assistants and Office Managers to provide seamless executive support.
- Partner with team members to support company operations and facilitate project execution.
- Organize and assist with company events, offsites, and team-building activities to promote a collaborative work environment.
Requirements:
- A minimum of 5 years of experience as an Executive Assistant, ideally supporting C-suite executives such as a CEO or co-founder.
- Demonstrated ability to manage complex schedules, coordinate travel, and handle high-level communications.
- Strong organizational skills with exceptional attention to detail and the ability to multitask effectively.
- Excellent interpersonal and communication skills, with a natural ability to build rapport across all levels.
- Comfortable working in a fast-paced, dynamic environment and managing competing priorities.
- Proficiency with tools like Google Workspace, Slack, and expense reporting software.
- A proactive, adaptable, and resourceful mindset with a positive attitude.
- Proven ability to handle confidential information with discretion and integrity.
- Collaborative team player with the capability to work independently when required.
- Experience in project management and planning corporate events or gatherings is a plus.
Schedule:
Full-time, Monday through Friday, standard business hours.
Compensation:
$130,000 - $155,000 base salary, with flexibility for the right candidate. Full benefits package, equity, and additional perks are included.
Location:
San Francisco, CA – fully in-office.
