Medical Office Coordinator

Our client located in San Antonio, Texas has an immediate need for a Medical Office Coordinator on a direct hire basis.

Medical Office Coordinator:

The Medical Office Coordinator will support a dedicated psychiatrist with administrative operations and enhancing patient care. This role involves creating a welcoming environment while ensuring the smooth functioning of office procedures with professionalism and efficiency.

Act as the primary contact for patients, addressing their medical care needs and maintaining confidentiality.

Manage patient check-ins and update records promptly.

Schedule appointments and ensure on-call coverage is maintained.

Handle phone inquiries and document patient communications swiftly.

Ensure timely invoicing and payment processing for all patient services using QuickBooks.

Organize and maintain comprehensive patient records.

Draft professional correspondence related to patient care.

Regularly update office policies as needed.

Oversee daily office operations and procedures.

Coordinate with IT and vendors for seamless service.

Perform general office management tasks, including supply ordering and equipment maintenance.

Track and manage continuing education requirements for the psychiatrist.

Ensure timely renewal of medical licenses and insurance policies.

Negotiate contracts and pricing with service providers.

Assist in onboarding new team members.

Collaborate with facility management vendors.

Arrange work-related travel for the psychiatrist.


Medical Office Coordinator Background Profile:

High school diploma required.

At least 3 years of administrative support in a healthcare environment is required.

Familiarity with office systems and procedures.

Experience with electronic medical records (EMR) and office software.

Proficiency in MS Office, especially Excel and Word.

Knowledge of basic bookkeeping and familiarity with QuickBooks or similar tools.

Strong organizational skills with excellent attention to detail.

Exceptional time management abilities, with a talent for multitasking.

Excellent verbal and written communication skills.

Creative problem-solving capabilities and a proactive approach to improvements.
