Job Responsibilities
1. Responsible for accounts payable files and creating vouchers for invoice payments according to established laws and regulations. Prints accounts payable checks and matches checks with appropriate invoices and purchase orders. Mails checks with appropriate remittance advice and maintains related voucher file. Prepares year end 1099 tax forms and reports. Manages the college's investment accounts.
2. Responsible for invoices qualifying for direct payment and general ledger account to be charged. Verifying budgeted funds are available. Verifies invoices are taxed at the appropriate rate. Calculates quarterly use sales tax payable and maintains file for reporting.
3. Responsible for student refunds in accordance with federal and state laws as verified and approved through authorizing departments within the college. Responsible for ensuring drop/add forms are processed correctly and informing proper personnel of any discrepancies for corrections.
4. Responsible for checkwriting on a timely basis ensuring requested deadlines are met, post totals to ledgers and journals. Maintain Accounts Payable files as required for auditing purposes to reflect daily, monthly, and year to date amounts for federal, state, and special grants accounts. Ensure voided checks have proper backup documentation. Research checks not clearing account within appropriate timeframe to ensure completion of check process.
5..Participates with student registration and general public assistance. Aids in receptionist duties to include, but not limited to, phones, cashier, mail service, etc. Responsible for compiling necessary documentation for facilities department to include, but not limited to energy report and inventory reconciliation.
6. Serve on college committees and assist department with institutional effectiveness reports. Performs other duties as required.
Minimum and Additional Requirements
A high school diploma and experience in entry-level accounting or bookkeeping. A bachelor's degree may be substituted for required work experience
