Position Title: Administrative Support Assistant
Job Type: W2 Contract to Hire
Location: Goleta, CA 93117 (On-site)
Pay Rate: $20 - $23 per hour
Schedule: Monday – Friday, 8 AM – 5:00 PM
Job Description
The Administrative Assistant is a high-level administrative role responsible for performing a variety of complex and routine duties under minimal supervision. The role involves handling confidential information, coordinating schedules, and supporting departmental operations to ensure smooth workflow.
Key Responsibilities
Administrative Tasks:
- Perform thorough administrative, secretarial, and clerical functions.
- Manage office supply orders and set up offices and computer equipment for new hires.
- Handle phones, package work orders, and manage administrative inboxes for new projects.
- Coordinate schedules for the Executive VP and other managers.
Compliance and Reporting:
- Process and assign compliance work, including Go95 exceptions and third-party letters.
- Manage spreadsheets and monitor work orders to ensure timely completion.
- Act as a Single Point of Contact (SPOC) for new service requests (SRs).
Customer Service:
- Interact with internal and external stakeholders to provide assistance and resolve inquiries effectively.
Special Projects:
- Work on ad-hoc projects as assigned.
- Provide work direction to lower-level administrative staff within the department.
Qualifications
Education:
- High school diploma or equivalent required.
- Relevant college courses are a plus.
Experience:
- 2–4 years of office or administrative experience.
- Broad knowledge of department policies, practices, and procedures.
Technical Skills:
- Proficiency in Microsoft Word, Excel, Outlook, and related software.
- Typing speed of 50 words per minute or higher.

- Ability to balance multiple tasks simultaneously.
- Judgement and confidence in handling interpersonal relations.

- Previous experience managing compliance and administrative workflows.
