ChemStation Mid-South in Nashville, TN is seeking an Office Administrator. The office administrator is responsible for assisting the Sales and Operations Teams with daily support tasks and project related duties, as well as being responsible for general office related responsibilities that promote ChemStation Mid-South’s commitment to the development, implementation and maintenance of the Food Safety System and Culture.

PRIMARY DUTIES AND RESPONSIBILITIES


This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities as management may deem from time to time.

  • Require all visitors to complete sign-in/out at the front desk and contact appropriate ChemStation employee to escort visitor(s) before they are permitted to enter the offices and/or warehouse areas.
  • Evaluate daily delivery schedules/route information provided by the Operations Manager and determine if there are required tasks prior to delivery, ie., Request Purchase Order numbers from applicable customer(s), call or email with “Notice of Delivery” to applicable customer(s), generate a Sales Order/Delivery Ticket for any Pass-Through Items that are slated for delivery.
  • As needed, the Office Administrator will generate Purchase Orders for Operations when equipment and/or pass-through items are requested and finalize applicable purchase orders when deliveries are accepted, and proper paperwork is provided (ie., COAs, BOLs, and invoices).
  • Maintain required office files/records, customers files/folders, and all Approved Supplier PO/final receiving paperwork, etc.
  • Maintain and organize the Product Reagent(s) and Test Kit/Strips that are kept in locked office storage closets.
  • Confirm that all delivery tickets are signed and invoiced daily. Email tickets to applicable AR/AP employee(s). Verify daily and monthly revenue utilizing the Excel Spreadsheet - updating with all items/products and their quantities delivered per ticket.
  • Monitor, as necessary, any requested service/maintenance items for Operations via Service Fusion.
  • Manage and distribute requested customer reports for usage, product analysis, intervention, and sanitation. These may be designated for daily, weekly, monthly, and/or quarterly, and are required in multiple formats.
  • As needed, input and document customer forms for new tanks and products, tank and product changes, pricing updates, points of contact, etc.
  • Generate product and equipment quotes as needed or requested by the sales team.
  • Other Duties as deemed fit, when applicable.
