We are currently seeking an Office Administrator to join our Calgary office. In this role, you will be the face and voice of the Firm to external and internal clients and stakeholders and provide administrative support for the office. You will be the first point of contact for visitors and clients. As such, you are welcoming and love interacting with people, putting them at ease, and helping them solve their problems. You will support daily office operations, provide administrative assistance to our team, and ensure a professional and efficient work environment.


What you’ll be doing at Kasian:

  • Oversee daily office operations, and manage supplies, equipment, and maintenance to ensure a professional environment.
  • Greet and connect corporate visitors with the appropriate team members, ensuring a positive first impression.
  • Manage the switchboard, relay messages, and maintain the telephone and voicemail systems.
  • Process incoming and outgoing correspondence, maintain courier schedules, and manage subscriptions. Update contact lists and distribute the staff directory.
  • Provide administrative support to architects and project managers, including scheduling, managing calendars, and preparing documentation for projects.
  • Organize and maintain project files, contracts, and related materials.
  • Assist with budgeting, invoice processing, and tracking project expenses.
  • Support project management by coordinating meetings, timelines, deliverables, and tracking progress.
  • Assist with scheduling boardrooms, setting up meetings, and ensuring cleanliness in office spaces.
  • Act as a point of contact for clients, vendors, and external partners, handling inquiries and ensuring efficient communication.
  • Coordinate client meetings and staff travel arrangements as needed.


Here’s a little bit about you:

  • High school diploma required; Bachelor’s degree in Business Administration, Architecture, or related field preferred.
  • Minimum of 3 years of customer service experience, with phone switchboard operator experience.
  • Previous office administration or clerical experience, ideally in architecture, construction, or design.
  • Strong organizational, communication, and problem-solving skills, with attention to detail in document handling and project tracking.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), project management tools, and Adobe Acrobat.
  • Knowledge of office practices and practical computer skills.
  • Ability to prioritize tasks, manage multiple responsibilities, and work effectively in a fast-paced environment.
  • Professional appearance and ability to interact with clients, vendors, and staff in a professional manner.
  • Proactive in identifying and addressing office needs or issues, and handling sensitive information with discretion.
