Position Summary

ZymoChem is seeking an Office Assistant to join our rapidly growing Operations team. This role offers a wide range of responsibilities, including managing and setting up office spaces, maintaining office inventory, coordinating events, supporting onboarding processes, and assisting with various Human Resources and Accounting projects. The ideal candidate is highly organized, eager to learn new skills and workflows, and has a keen eye for identifying and implementing process improvements. This role is a great opportunity for someone early in their career who is eager to gain hands-on experience and deepen their knowledge in office administration, HR, and accounting.


Responsibilities

  • Maintain a well-organized, functional, and welcoming office environment, including managing office setup, replenishing supplies, and keeping snacks stocked.
  • Organize, plan, and support all-hands meetings and corporate events.
  • Assist Office Manager with accounts payable (AP), tracking, and follow-up.
  • Greet candidates and other visitors as necessary.
  • Perform regular audits, including I-9 files and other compliance documents.
  • Track Certificates of Insurance (COI), Non-Disclosure Agreements (NDA), W-9, W-8 forms, computer inventory, and others.
  • Responsible for completing the new hire onboarding tasks and ensuring all onboarding tasks are completed accurately and on time.
  • Collaborate with Human Resources and Lab Operations to streamline workflows and drive continuous process improvements.
  • Arrange travel accommodations for employees as needed.
  • Assist Recruiter and Head of People with projects or tasks as needed.
  • Other duties as assigned.


Qualifications

  • Associates Degree in Business Administration, HR, Accounting, Economics, Marketing or related discipline preferred.
  • Minimum 1 year of in-office experience is required, ideally in a fast-paced startup environment.
  • Excellent customer service skills, effective with multitasking, and an adept ability to improvise work plans while maintaining efficiency
  • Detail-oriented and proactive in addressing issues before they arise.
  • Proficient in Microsoft Office Suite and Google Suite, and familiarity with Zoom and Slack and IT onboarding experience is a plus.
  • Strong interpersonal and communication skills, with a friendly and professional demeanor.
  • Ability to act proactively, independently, and with a high degree of adaptability
  • Ability to safely move up to 15 lbs between locations
  • Ability to follow safety protocols and procedures
