Job Description

Our client, an advertising services company, is looking for a Temporary Office Manager! They are seeking someone who is proactive, efficient, and has a no job too big too small type mentality.


This is an ongoing temporary assignment starting asap that will last for about 6-7 months.


Location: Downtown Manhattan (Soho)


Hours: 7am/8am – 5pm (flexible for OT if needed)

*Fully Onsite


Responsibilities:

  • Supports the Director of Facilities on project specific coordination as well as day to day office management
  • Defining project scope, objectives, and deliverables. Creating detailed work plans and schedules.
  • Organizing meetings, appointments, and travel arrangements. Ensuring their employer is aware of upcoming deadlines and commitments.
  • Handling phone calls, emails, and correspondence on behalf of their employer. Drafting documents, taking notes, and creating reports.
  • Prioritizing and managing a variety of personal and professional tasks
  • Perform field inspection of ongoing construction projects, insure contractors are performing work in accordance with contract documents, and construction standards are being met and on schedule
  • Maintaining, developing, and implementing project plans including definition, scope, budgets, schedules, incorporating input from appropriate team members, consultants and clients. Knowledgeable of financial terms and principles.
  • Maintains records and prepares reports related to projects and general office management.
  • Demonstrates knowledge of the organizations Service Standards and incorporates them into the performance of duties
  • Assist the Director in the facilitation of client meetings regarding project matters


Qualifications:

  • 3+ years of related experience
  • Experience in construction trades, complex operations within an office environment, knowledge of B corp procedures, experience in management of contractors and experience in interpreting construction drawings.
  • Strong communication and interpersonal skills
  • Highly proactive, responsive, reliable, adaptable, and self-motivated.
